About PURE Medical Aesthetics

PURE Medical Aesthetics is a growing medical aesthetics practice dedicated to providing exceptional treatments, personalized care, and an elevated client experience. We are looking for a Client Experience Coordinator who is organized, professional, warm, and exceptionally detail-oriented to join our team.

This position is ideal for someone who genuinely enjoys working with people while also being highly organized and able to stay on top of many moving pieces at once.

The Role

The Client Experience Coordinator is the main point of contact for all client communication at PURE. You will be the first voice, message, and face many of our clients interact with, making this role extremely important to the overall client experience.

You will be responsible for managing our front desk operations, communicating with clients through our phone and texting system, scheduling appointments, checking clients in and out, and helping ensure the day runs smoothly for both clients and providers.

Attention to detail is essential. The ideal candidate notices the little things, follows through on tasks, communicates clearly, and does not need to be reminded to complete responsibilities.

Key Responsibilities

Client Communication

  • Serve as the primary point of contact for all client communication
  • Manage incoming calls, texts, voicemails, and client inquiries through Weave, our phone and texting platform
  • Respond to clients promptly, professionally, and warmly
  • Communicate appointment information, policies, pricing, services, and general practice information
  • Follow up with clients when needed and ensure no communication falls through the cracks
  • Maintain a high level of professionalism and discretion with all client interactions

Front Desk & Scheduling

  • Schedule, reschedule, and confirm client appointments
  • Manage the daily schedule and help maximize provider availability
  • Check clients in and out
  • Collect payments and ensure clients are properly checked out before treatment
  • Assist with consultations, forms, and other front-desk paperwork
  • Maintain accurate client information and records
  • Ask new clients how they heard about PURE and accurately document referral sources
  • Assist clients with membership, financing, gift card, and other practice-related questions
  • Help keep the front desk and client-facing areas organized, clean, and welcoming

Office Operations

  • Open and close the office according to PURE procedures
  • Prepare the office for the day and ensure everything is ready before the first client arrives
  • Complete end-of-day closing responsibilities
  • Monitor the front desk and office throughout the day
  • Communicate operational needs, issues, or concerns to management
  • Assist with maintaining an organized and professional environment
  • Support providers and management with day-to-day operational needs

What We Are Looking For

The right person for this role is:

  • Extremely detail-oriented and organized
  • Reliable and dependable
  • Warm, friendly, and genuinely enjoys interacting with clients
  • An excellent communicator
  • Comfortable communicating by phone, text, and in person
  • Professional and polished
  • Able to multitask without losing attention to detail
  • Proactive and able to recognize what needs to be done without always being asked
  • Comfortable working in a fast-paced environment
  • Tech-savvy and able to learn new software quickly
  • Confident handling scheduling, payments, and client questions
  • Able to maintain confidentiality and professionalism
  • A strong team player who is willing to jump in wherever needed

A Great Fit for PURE Will...

  • Take ownership of their responsibilities
  • Follow through from start to finish
  • Double-check their work
  • Keep excellent notes and stay organized
  • Communicate with the team rather than letting things fall through the cracks
  • Understand that small details make a big difference in the client experience
  • Treat every client interaction as an opportunity to make someone feel welcomed and cared for
  • Be comfortable being the person who knows what is happening at the front desk

Experience

Previous experience in a medical office, med spa, aesthetics practice, dermatology/plastic surgery office, hospitality, or other client-facing environment is preferred.

Experience with scheduling, customer service, phone and text communication, POS systems, or practice management software is a plus.

All new team members receive comprehensive training on PURE’s systems, procedures, services, and client experience standards. We are looking for someone who comes in with a strong work ethic, excellent communication skills, a high level of organization, and the ability to learn and follow systems accurately.

Why PURE?

At PURE, the Client Experience Coordinator plays a major role in creating the experience our clients remember. We are looking for someone who takes pride in being organized, providing excellent service, and helping the entire team operate efficiently.

If you are someone who loves people, thrives on organization, notices the details others miss, and takes pride in doing things correctly, we would love to hear from you.
