Client Experience Coordinator (Front Desk)

When someone walks into NeuroAnimation, they are often carrying a lot. A new diagnosis. A stroke that changed everything. A parent who is forgetting more each month. A spouse who is exhausted and looking for any real reason to hope.

You are the person who meets them at the door.

NeuroAnimation is a specialized neurological recovery center helping clients regain function, independence, and confidence after neurological events. Our therapy delivers world-leading results for people living with Alzheimer's and dementia, Parkinson's, stroke, TBI, MCI, and more. We are new, we are growing, and every person on our team shapes what this place becomes.

This role is for you if:

What you will do

Create an unforgettable first impression

• Greet every client, caregiver, and visitor with warmth, and make them feel expected and cared for
• Manage check-in and check-out so every visit feels smooth and unrushed
• Keep our reception and common areas clean, calm, and welcoming

Keep our clients' journeys on track

• Schedule and manage client appointments, meetings, and follow-ups, and keep the center calendar running smoothly
• Answer phone calls and emails with patience and clarity, and guide families who may be calling for the first time
• Coordinate with doctors' offices to follow up on referrals and make sure all documentation arrives complete and on time

Be the glue for our team

• Work side by side with our specialists and clinical staff so nothing falls through the cracks
• Handle filing, data entry, and document preparation accurately and confidentially
• Pitch in on special projects as we grow

What you bring

• A warm, genuine, and calm presence, including when conversations are emotional or difficult
• Excellent written and verbal communication
• Strong organization, attention to detail, and the ability to juggle priorities without losing your cool
• Reliability and punctuality, because clients and colleagues depend on you
• Comfort with Google Workspace, and learning new software, including CRM and scheduling systems
• Experience in reception, administration, customer service, or a healthcare setting is preferred
• High school diploma or equivalent (associate's degree or higher preferred)

Nice to have

• Experience in a medical, therapy, or senior care setting
• Familiarity with HIPAA and referral workflows
• Personal experience supporting someone through a neurological condition, which gives you a perspective we value

What we offer

• Meaningful work on a team dedicated to helping people recover and live their best lives
• Pay of $20 to $23 per hour based on experience, with raises & bonuses considered on a quarterly basis
• Full-time schedule of 40 hours per week, 7:45am-3:45pm
• Training provided on referral, scheduling, and client communication workflows specific to NeuroAnimation
