Client Intake Coordinator

About the role

As a Client Intake Coordinator, you will be an essential part of the intake team, helping to ensure that clients receive the best possible care from the moment they reach out. You'll play a key role in managing client inquiries, coordinating referrals, and delivering exceptional customer service, all while working in a busy, contact-center environment.

Key responsibilities

• Assist the Intake Team with new referrals and initial inquiries, ensuring all client needs are met
• Handle incoming calls from clients, gathering relevant information to assess their needs
• Record and maintain accurate data in systems, ensuring smooth referral processes
• Schedule client appointments and direct inquiries to the appropriate team members
• Provide empathetic, professional customer service, addressing any questions or concerns
• Maintain confidentiality in all interactions, handling sensitive information appropriately
• Collaborate with colleagues to ensure efficient operations across all departments
• Participate in ongoing training to stay updated with services and practices
• Contribute to a positive and professional team environment

About you

• Experience in a call center or administrative role is highly desirable
• Strong phone handling skills and a genuine desire to help people
• Exceptional organisational skills and the ability to manage multiple tasks in a fast-paced environment
• Attention to detail and strong communication skills, both written and verbal
• Ability to handle confidential information and demonstrate professionalism at all times
• Proficiency in database management and the Microsoft Office Suite
• A reliable, adaptable team member who thrives in a supportive, collaborative environment
