We are looking for a highly organized, client-facing Client Qualification & Pre-Kickoff Project Manager to take ownership of qualified prospects from the moment they are handed off by an executive through the point they are fully prepared for project kickoff.
This is not a basic administrative or data-entry role.
The right person will be responsible for communicating directly with prospective clients, collecting required documents and financial information, reviewing what has been received for completeness, identifying missing or inconsistent information, organizing data, maintaining accurate CRM and Monday.com records, following up consistently, and keeping each prospect moving quickly and efficiently through the pre-kickoff pipeline.
You should be comfortable speaking with business owners, executives, CFOs, controllers, accountants, and other client contacts. You should also be comfortable working with Excel, financial records, payroll information, spreadsheets, and General Ledger data.
You do not need to be a CPA or tax expert, but you must be analytical enough to recognize when information is missing, inconsistent, unclear, or needs to be escalated.
What You Will Own
You will take responsibility for a qualified prospect immediately after handoff from the executive or Business Development team and manage that prospect through kickoff readiness.
Your responsibilities will include:
- Serve as the primary point of contact for prospects during the pre-kickoff stage.
- Conduct initial qualification and information-gathering conversations.
- Clearly explain what documents and information are needed and why.
- Obtain required documents from clients efficiently and professionally.
- Follow up consistently so prospects do not become stalled.
- Review information for completeness rather than simply accepting that everything needed has been provided.
- Identify missing documents, incomplete information, inconsistencies, conflicting numbers, or unanswered questions.
- Review payroll information, spreadsheets, accounting records, and General Ledger data.
- Organize large amounts of client information into clean, usable working files.
- Use Excel to sort, filter, clean, compare, reconcile, and analyze client information.
- Maintain accurate client and prospect records in the CRM.
- Use Monday.com to track status, next steps, document requests, deadlines, follow-ups, ownership, and progress.
- Use Slack for internal communication, coordination, and escalation.
- Organize documents using consistent folder structures and naming conventions.
- Prepare and track engagement paperwork, signatures, approvals, and other pre-kickoff requirements.
- Maintain a clear list of outstanding items for every prospect.
- Recognize bottlenecks early and take action before they delay kickoff.
- Communicate with internal team members when technical, financial, or tax questions require additional review.
- Keep leadership informed of important risks, delays, or decisions without overwhelming them with unnecessary details.
- Prepare a complete kickoff-ready package for the technical/project team.
- Provide a concise handoff summary identifying what has been received, what has been verified, what remains outstanding, and anything the team should know before kickoff.
Excel & Data Skills
You should be comfortable using Excel for real business and financial information.
Experience should include:
- Sorting and filtering
- PivotTables
- XLOOKUP and/or VLOOKUP
- SUMIF/SUMIFS
- Identifying duplicates
- Comparing datasets
- Cleaning inconsistent data
- Organizing large spreadsheets
- Basic reconciliations
- Identifying missing or inconsistent information
Candidates may be asked to complete a practical Excel/data exercise during the interview process.
General Ledger & Financial Data
You should be comfortable looking at a General Ledger and other accounting records.
You are not expected to make final tax determinations, but you should be able to review financial information and recognize when:
- information is missing
- numbers do not appear to reconcile
- supporting documentation is needed
- an account requires clarification
- information may belong to a different entity or tax year
- something needs to be reviewed by a technical or tax professional
Accounting, bookkeeping, financial-analysis, tax, consulting, or professional-services experience is strongly preferred.
Required Skills
- Strong project-management and organizational ability
- Excellent client communication
- Strong customer-service instincts
- Persistent and professional follow-up
- Strong attention to detail
- Ability to manage multiple prospects simultaneously
- Strong written and verbal English
- Strong Excel skills
- Experience with Monday.com
- Experience with Slack
- Experience with CRM systems
- Comfort working with financial data
- Familiarity with General Ledger information
- Strong critical thinking and problem solving
- Ability to identify inconsistencies rather than simply process information
- Ability to work independently
- Ability to distinguish between something you can handle yourself and something requiring escalation
- Strong ownership mentality
- Ability to work effectively in a remote environment
Preferred Experience
Experience in one or more of the following is strongly preferred:
- Client Document Collection & Management
- Client onboarding
- CRM/pipeline management
- Client qualification
- Financial-data review
- Project management
- General Ledger review
- Experience with R&D Tax Credits is helpful but not required. The right candidate can be trained on our specific qualification process.
- What Success Looks Like: The person in this role should be able to take a prospect from: Executive handoff → client communication → qualification → document collection → data review → missing-item follow-up → organized records → complete CRM/Monday.com tracking → kickoff-ready handoff
When you say a prospect is ready for kickoff, the team should be able to trust that:
- the necessary documents have been collected
- the information has been reviewed
- obvious gaps have been addressed
- outstanding issues are clearly identified
- client information is accurate
- CRM and Monday.com records are current
- documents are organized
- client expectations are documented
- the technical team knows exactly what they are receiving
The goal is to move prospects quickly without sacrificing accuracy or client experience.
Application Instructions — Video Required
As part of your application, please send us your résumé along with a video answering the 10 questions below.
Important Video Instructions
Please do not read your answers from a script.
We want to hear how you naturally communicate and think.
You may review the questions beforehand and make brief notes, but please answer in your own words as though you were speaking directly with a client or executive.
We are evaluating:
communication, critical thinking, organization, judgment, client presence, ownership, data aptitude, and your ability to explain your reasoning clearly.
Please keep your answers concise while providing real examples whenever possible.
Video Questions
1. A qualified prospect is handed to you after an executive has spoken with them. Walk us through exactly what you would do from the moment you receive the prospect until they are ready for kickoff.
2. A client has provided only about 60% of the documents and information you requested. You have already followed up once and still have not received the remaining items. What would you do next to keep the prospect moving without frustrating the client?
3. A client sends several spreadsheets, payroll reports, accounting records, and other documents. How would you determine whether you actually have everything needed instead of assuming the file is complete because the client sent a large amount of information?
4. Describe your Excel experience. Specifically tell us about your experience with PivotTables, XLOOKUP/VLOOKUP, SUMIF/SUMIFS, sorting/filtering, data cleaning, identifying duplicates, comparing datasets, and basic reconciliations. Give us a real example of how you have used Excel to solve a business problem.
5. Have you worked with a General Ledger or other accounting records? If yes, explain what you reviewed or analyzed. If you were given a GL containing hundreds or thousands of transactions, how would you begin organizing and reviewing it?
6. The client's questionnaire contains one number, their spreadsheet contains a different number, and the CRM contains a third number. What would you do before updating the record or communicating that information internally?
7. Imagine you are speaking with a business owner, CFO, or controller and need additional information before the prospect can move forward. How would you ask detailed questions and obtain the information you need without making the client feel interrogated or frustrated?
8. You are managing 15 prospects at different stages. Some are waiting for documents, some need follow-up, several have unanswered questions, and others are almost ready for kickoff. Explain the system you would use to make sure nothing falls through the cracks and every prospect continues moving.
9. Tell us about your experience with Monday.com, CRM systems, and Slack. Explain how you would use each one differently to manage a prospect from initial handoff through kickoff.
10. You discover something in a client's financial information that does not make sense. You are unsure whether it is an error, an accounting issue, or something requiring technical or tax review. What would you do? What would you handle yourself, and when would you escalate it?
Bonus Question
What does “kickoff ready” mean to you? Before you tell the team that a prospect is ready for kickoff, what specifically would you want to verify is complete?
Work Setup & Availability Questions
Please answer these separately in writing with your application:
Computer: Do you own your own reliable computer for work? Please provide the operating system, RAM, and basic specifications. Do you also have a backup computer?
Internet: What is your primary internet provider and typical internet speed?
Internet backup: What is your backup plan if your primary internet connection goes down? Please be specific.
Power backup: What is your plan if electricity goes out during your workday?
Phoenix schedule: This position requires working hours aligned with Phoenix, Arizona time. Are you able and willing to consistently work a Phoenix-based schedule?
Off-hours availability: Occasionally an important client matter or deadline may require reasonable availability outside normal work hours. Are you able to provide that flexibility when genuinely necessary?
Current commitments: Are you currently employed, freelancing, or supporting any other clients? If yes, how many hours per week are you currently committed, and what would happen to those commitments if you accepted this position?
Long-term interest: Are you looking for a long-term opportunity? What would make you want to stay with one company for several years?
The Person We Are Looking For
We want someone who does not simply wait for instructions.
We want someone who naturally thinks:
What are we missing?
What needs to happen next?
Who owns it?
When is it due?
What could delay us?
Can I resolve it myself?
Who needs to know?
Is this client truly ready to move forward?
If you enjoy communicating with clients, organizing complex information, working with data, finding missing pieces, solving problems, and taking ownership of a process from beginning to end, this may be a strong fit.
