What they need
Position Summary
At Choules Financial, the first impression is the first proof that a client is in the right place, and this position is where that starts! This role serves as the face and voice of the firm for every prospect and client who calls, emails, or walks through the door, bringing the energy and concierge care that helps people let go of their "what if's" and start living a life of "yes." Whether setting an appointment at a seminar or staging the room before a meeting, this position sets the tone that makes every touchpoint feel personal and turns first-time visitors into clients who feel like they're already part of the family.
Key Responsibilities
Client & Prospect Experience
- Serve as the first voice and face of Choules Financial, welcoming every client, prospect, and guest with warmth, energy, and genuine hospitality, in person, by phone, and email.
- Set the tone for our concierge-level client experience, anticipating needs before they're spoken and making every visit feel personal and cared for.
- Show up as a cheerleader for our clients, celebrating milestones, remembering personal details, and reinforcing that Choules Financial is in their corner.
- Manage handwritten notes, client gifting, and other personalized touchpoints that turn routine interactions into memorable moments.
Scheduling & Seminar Appointment Setting
- Answer and route incoming calls and emails promptly and professionally, ensuring no prospect or client inquiry goes unanswered.
- Schedule and confirm appointments generated from seminars and client events, following up diligently to convert interest into booked meetings.
- Maintain advisor calendars, coordinating scheduling logistics to keep the week running smoothly.
- Track seminar RSVPs and follow-up outreach, reporting appointment-setting progress to leadership.
Advisor Appointment Preparation & Support
- Stage and prep the office and meeting rooms ahead of every advisor appointment, ensuring materials, technology, and presentation are ready.
- Prepare client files, meeting documents, and account paperwork in advance so advisors can walk into every appointment focused entirely on the client.
- Greet clients on arrival and manage smooth transitions between check-in, waiting, and meeting spaces.
- Coordinate with advisors before and after appointments to relay key details, action items, and follow-up needs.
Office & Administrative Operations
- Maintain a welcoming, organized front office, from supplies and décor to filing systems, that reflects the professionalism of the Choules Financial brand.
- Support event and seminar logistics, including registration, materials, and day-of coordination.
- Uphold confidentiality and compliance standards in all client documentation and communication.
- Bring ideas to leadership for improving the client experience, office flow, and first-impression standards.
Required Qualifications
- Bachelor's degree in a related field.
- 1+ years of experience in a client-facing, hospitality, concierge, or customer service role.
- High-energy, warm, outgoing personality with a genuine passion for making people feel welcome and cared for.
- Strong verbal and written communication skills, with the ability to manage phone, text, and email correspondence professionally.
- Highly organized with strong attention to detail, able to manage multiple schedules and priorities at once.
- Comfortable learning and using CRM and scheduling software.
- Professional appearance and demeanor, representing the Choules Financial brand at every touchpoint.
About Choules Financial
Choules Financial is a Utah-based financial planning firm built on a simple belief: our clients deserve to be more afraid of running out of life than running out of money. We help hardworking, down-to-earth people let go of the weight of “what if's” and step into retirement with the confidence to say “yes” to the life they've earned. Our team is young, hungry, and genuinely cares about each other and the clients we serve. We move together, in and out of the office, and we're building a culture where every person can specialize, grow, and see their long-term future here. If you want to be part of a close-knit team that's expanding its reach while staying true to its roots, we'd love your help building a life of “yes,” for our clients and for each other.
