About the opportunity
Debra Schachter Insurance & Financial Services is seeking an organized, dependable, and ambitious Client Service & Operations Associate. This is not a role limited to basic administrative tasks. We are looking for someone who can learn our processes, take ownership of important recurring work, and help ensure that appointment preparation, client-service requests, documentation, and follow-up keep moving.
Financial-services experience is helpful, but it is not required. We place greater value on computer ability, coachability, follow-through, teamwork, professional communication, and a genuine desire to grow.
What you will do
- Prepare client meeting materials, statements, reports, snapshots, checklists, and appointment folders.
- Answer calls, check voicemail, take complete messages, and communicate professionally with clients and companies.
- Prepare and track client-service paperwork such as beneficiary, address, name, banking/EFT, withdrawal, distribution, RMD, and death-claim requests under supervision.
- Request missing forms, signatures, statements, checks, identification, and supporting documents.
- Call insurance and investment companies for forms, requirements, routine account information, and processing status.
- Prepare DocuSign packages, correspondence, mailing labels, UPS packages, and other submissions.
- Maintain Excel workbooks, internal tracking grids, calendars, CRM records, and accurate electronic client files.
- Own assigned pending items, recurring workflows, and larger office projects from intake through documented completion.
- Identify missing information, delays, or unusual issues early and bring them to the appropriate team member.
What we are looking for
- Strong Excel skills, including entering and updating data, navigating multi-sheet workbooks, sorting and filtering, using basic formulas, formatting information, and saving files accurately.
- Strong general computer skills and confidence learning multiple systems, websites, and office procedures.
- Ambition, curiosity, and a desire to earn greater responsibility over time.
- Ability to follow detailed written and verbal directions and work within established procedures.
- A team-first attitude and the ability to accept coaching, correction, and candid feedback professionally without becoming defensive.
- Excellent attention to names, dates, account numbers, forms, instructions, and deadlines.
- Dependability, discretion, sound judgment, professional communication, and persistent follow-through.
- The confidence to ask questions when something is unclear rather than guessing.
Helpful, but not required
Previous administrative, client-service, insurance, banking, or financial-services experience, as well as familiarity with Outlook, Word, Adobe Acrobat, DocuSign, OneDrive/SharePoint, CRM systems, or business web portals.
What success looks like
You will become someone the team can rely on to prepare accurate work, maintain clear records, follow up without repeated reminders, identify what is missing, and take responsibility for defined categories of work. Your contribution should create measurable time for the team to focus on client appointments, relationships, and higher-level projects.
Role boundaries
The associate may gather information, prepare paperwork, update records, communicate approved status information, and conduct follow-up. The role does not independently provide financial, investment, legal, or tax advice; recommend products; make suitability or compliance decisions; authorize movement of funds; or place trades.
Pay: From $35,000.00 per year
Work Location: In person
