Client Service Officer

About the role

You'll be the first friendly voice clients hear, the calm in the middle of a busy advice team, and the person who makes sure nothing falls through the cracks in a financial planning practice. This role requires someone who thrives on organised chaos, loves a good spreadsheet, and gets genuine satisfaction from making a client's day easier.

Key responsibilities

• Be the face (and voice) of the practice — greeting clients, answering queries, and making every interaction feel personal and professional

• Keep the wheels turning — managing diaries, booking client meetings, and coordinating between advisers and clients

• Own the paperwork — preparing meeting packs, processing applications, and maintaining accurate client records in the CRM

• Chase the details that matter — liaising with platforms, super funds, and insurers to get things actioned properly and on time

• Support compliance from the ground up — ensuring documentation, file notes, and processes meet industry standards and regulatory obligations

• Make onboarding painless — guiding new clients through account setup, forms, and getting started logistics with warmth and clarity

About you

• A genuine love of helping people (clients and colleagues)
• Rock-solid organisational skills — you don't just manage priorities, you anticipate them
• Comfort with financial services admin, platforms, or CRMs (or a fast learner's confidence to pick it up)
• An eye for detail sharp enough to catch a typo from across the room
• A calm, professional manner — even when three phones are ringing at once
