Client Service Representative/Veterinary Receptionist

About the Role

Animal Medical Center of Miami is a new, privately-owned specialty and emergency hospital opening in the heart of Miami: a 24/7 facility built to deliver the highest standard of critical and specialty veterinary care in South Florida, with a focus on surgery and internal medicine. We are veterinarian-founded and veterinarian-led, and we put the wellbeing of our staff at the forefront of what we do.

We’re hiring an experienced Client Service Representative for our newly opening hospital. You’ll manage the front desk, answer calls, schedule appointments, and make sure every client feels taken care of from the moment they walk in.

What You’ll Do

Our CSRs are the first point of contact for every client who walks through our doors or calls our hospital, and they play a critical role in helping our medical team deliver exceptional care. Many of our clients arrive during stressful moments, and your compassion, patience, and positive energy will help put them at ease. Your attention to detail and ability to stay calm under pressure keep the hospital running smoothly. You are efficient, organized, collaborative, and an excellent communicator.

Key Responsibilities

Client Care & Communication

• Greeting clients and patients, checking in emergency and specialty appointments, and quickly alerting the medical team to urgent cases
• Handling inbound phone calls and taking ownership of client questions and requests
• Supporting clients with compassion during emergencies, difficult news, and end-of-life situations
• Reviewing treatment estimates with clients and processing deposits and payments

Hospital Administration

• Scheduling specialty consultations, surgeries, and follow-up appointments
• Coordinating with referring veterinarians, including requesting and sending medical records and updates
• Managing patient records, discharges, and follow-up communication
• Keeping the lobby and front desk organized, clean, and welcoming

Operations Support

• Collaborating with the broader team (e.g., technicians, assistants, ER, surgery, and internal medicine staff) to ensure smooth patient flow
• Liaising with partners (including suppliers, laboratory services, and technology providers) to support seamless day-to-day operations
• Assisting with other tasks relating to hospital operations, as needed

Your Qualifications

• Excellent verbal communication skills in both English and Spanish (preferred), and excellent written communication in English
• Proven ability to prioritize, multitask, and stay organized in a fast-paced environment
• Ability to remain calm, empathetic, and professional with clients in stressful situations
• Exceptional organizational and time management skills
• Positive and welcoming attitude
• Experience as a medical receptionist, especially in an emergency or specialty veterinary setting, is a bonus
