Job Summary

The Client Support Specialist supports complex estate and account termination workflows while partnering closely with Moneta client teams, custodians, and internal operations groups. This role is well suited for an early-career professional or experienced service professional who communicates with confidence, enjoys project-based work, and can keep multiple details moving over an extended timeline. You will have frequent interaction with internal client teams and play an important role in helping them navigate requests, documentation, and next steps.

What You Will Do

  • Manage estate and account termination requests from initial intake through completion.
  • Review estate planning and account documentation for completeness, identify missing information, and coordinate follow-up with internal teams and custodians.
  • Participate in Teams calls with client teams to discuss workflow status, clarify requirements, and help move requests forward.
  • Navigate questions with professionalism and sound judgment, researching answers and engaging the appropriate partners when needed.
  • Maintain accurate records, next steps, and status updates across Salesforce, financial reporting systems, custodian platforms, DocuSign, and project management tools.
  • Balance multiple projects and shifting priorities while providing timely, proactive communication to stakeholders.
  • Help document, build, and improve workflows with an emphasis on consistency, efficiency, and strong internal service experience.
  • Partner with other onboarding and support specialists on shared responsibilities and team priorities.
  • Explore practical ways to use AI-enabled tools to support research, documentation, and process efficiency.

What We Are Looking For

  • A confident communicator with a strong professional presence who is comfortable participating in conversations with client teams.
  • A solutions-oriented thinker who can work through unfamiliar questions without needing to know every answer immediately.
  • Initiative, curiosity, and an eagerness to learn complex workflows.
  • Strong critical thinking, organization, and follow-through across multiple long-running projects.
  • An interest in building processes, identifying efficiencies, and improving how work gets done.
  • Comfort reading detailed documents, including estate planning materials, to locate relevant information. Legal interpretation is not required.
  • A collaborative approach and the flexibility to shift priorities as business needs change.

Experience That Can Translate Well

We welcome candidates from a range of backgrounds. You may be a recent college graduate who demonstrates maturity and business judgment, or you may bring transferable experience from a fast-paced service environment. Relevant backgrounds may include:

  • Business, finance, pre-law, marketing, human resources, or another related field.
  • A law firm, trust, probate, wealth management, banking, or broader financial services environment.
  • Hospitality, customer service, retail, or sales roles that required professional communication, problem-solving, and managing many details at once.
  • Work that involved creating procedures, coordinating projects, or improving processes.

Qualifications

  • Bachelor's degree preferred; equivalent relevant experience will also be considered.
  • One or more years of professional experience is helpful.
  • Proficiency with Microsoft Office applications; experience with Salesforce or DocuSign is a plus. Authorized to work in the United States.
