What You'll Be Doing

As a Clinic Assistant, you'll play an essential role in ensuring our patients receive an outstanding experience while keeping our clinic running smoothly.

Patient Experience & Front Desk

• Welcome patients and create a warm, professional first impression
• Manage patient check-ins, check-outs, and appointment bookings
• Answer phone calls, emails, and patient inquiries
• Build positive relationships with patients and practitioners
• Handle patient concerns professionally and confidently
• Ensure every patient receives exceptional customer service

Clinic Administration & Operations

• Manage practitioner schedules and optimize appointment bookings
• Coordinate appointments, cancellations, and rescheduling
• Maintain accurate patient records and administrative documentation
• Assist with daily clinic operations and administrative tasks
• Support Physiotherapists, Chiropractors, Massage Therapists, and other healthcare practitioners
• Help maintain an organized, efficient, and welcoming clinic environment

Billing & Insurance

• Process patient payments and insurance claims
• Handle private insurance and third-party direct billing
• Assist with WCB and Motor Vehicle Accident (MVA) billing and documentation
• Follow up on outstanding balances and billing inquiries
• Ensure accuracy in billing and patient account information

What We're Looking For

Previous experience working in a Physiotherapy or Chiropractic clinic is REQUIRED.

We are seeking candidates who bring:

• Minimum 1 year of experience in a physiotherapy or chiropractic clinic
• Strong knowledge of clinic front-desk operations
• Experience with appointment scheduling and patient management
• Familiarity with private insurance and direct billing
• Excellent communication and customer service skills
• Strong organizational and multitasking abilities
• High attention to detail and administrative accuracy
• Ability to work independently and collaboratively
• Professional, positive, and patient-focused attitude
• Reliability, punctuality, and a strong work ethic
• Ability to remain calm and organized in a fast-paced environment

Experience with Jane EMR is a strong asset but not mandatory.

Experience with Alberta insurance providers, WCB, and MVA claims is also an asset.
