This position is responsible for ensuring that required documentation is received, properly entered into the patient's chart, and available for provider review before scheduled appointments.

This is an administrative clinical coordination position and is not utilized for back-office Medical Assistant coverage.

Key Responsibilities

  • Submit requests for insurance approvals and follow up on pending authorization requests.
  • Process and monitor patient referrals and provide updates to referral partners as needed.
  • Process and coordinate in-office CT scans, sleep studies, and CPAP orders.
  • Manage the Clinical Coordinator's Epic in-basket and route messages according to practice workflow.
  • Retrieve medical records, imaging reports, test results, and other documentation from outside providers and facilities.
  • Maintain accurate tracking logs for referrals and authorizations.
  • Prepare patient charts and ensure required documentation is available before scheduled appointments.
  • For new patients, upload referral packets into Epic Media Manager and ensure imaging, audiograms, and medical records are available and attached to the appropriate visit.
  • For established patients, confirm imaging, sleep studies, laboratory results, and other ordered testing have been completed and are available in the chart before follow-up appointments.
  • Add imaging locations or outside facilities to appointment details when applicable.
  • Confirm outside-provider records are available in the patient's chart or Epic Media Manager for provider review.
  • Before applicable post-operative visits, confirm culture and pathology results are available in the patient's chart and prepare them for the provider.
  • Maintain accurate and timely patient documentation in Epic.
  • Perform other related duties within the scope of the Clinical Coordinator position as assigned.

Qualifications

  • High school diploma or equivalent.
  • Experience with referrals, prior authorizations, and insurance verification in a medical office preferred.
  • Epic or comparable EHR experience, including familiarity with Media Manager.
  • Strong understanding of medical office workflows and patient documentation.
  • Strong organizational skills and attention to detail.
  • Ability to accurately track referrals, authorizations, records, and other outstanding items through completion.
  • Strong written and verbal communication skills.
  • Ability to communicate professionally with patients, providers, insurance companies, referring offices, and outside facilities.
  • Ability to manage multiple priorities in a fast-paced medical office environment.
  • Ability to work independently while also collaborating with the clinical team.

Schedule

This is a regular, full-time, non-exempt hourly position. The schedule is assigned by the Office Manager. Regular and punctual attendance is an essential function of this position.

Work Environment

This position requires extended periods of computer and telephone use and regular use of Epic, scanners, and a multi-line phone system. The Clinical Coordinator works in a medical office environment with regular interaction with patients, providers, staff, insurance companies, and outside healthcare facilities.
