Closed Van Dispatcher

About the role

You will manage the daily scheduling, routing, and real-time monitoring of closed delivery vans and drivers. You will serve as the central communication hub between operations, drivers, warehouse staff, and customers — ensuring timely, safe, and secure pickup and delivery of cargo.

Key responsibilities

• Plan and assign daily delivery/pickup trips to closed vans and drivers based on load, destination, and priority
• Optimize routes to maximize efficiency, minimize travel time, and reduce fuel/operational costs
• Prepare and issue trip tickets, manifests, gate passes, and all required documents before departure
• Coordinate with warehouse team to align loading schedules with vehicle and driver availability
• Track all assigned vans via GPS, phone, or fleet system; monitor progress and estimated arrival times
• Maintain constant communication with drivers — provide updates, route guidance, and instructions
• Respond immediately to delays (traffic, road closures, weather, mechanical issues); implement alternate solutions and notify customers and management
• Confirm successful deliveries; collect and file signed Proof of Delivery (POD) and receipts
• Maintain accurate daily dispatch logs: trip numbers, driver/van details, departure/arrival times, cargo, and status
• Reconcile PODs, trip expenses, toll/fuel slips; submit complete records to Finance promptly

About you

• College Degree in Logistics, Business Administration, or related field is preferred
• 2-year experience as Dispatcher, Logistics Assistant, or in transport/warehouse operations; direct experience with closed van delivery is a strong advantage
• Proficient in MS Office (Excel, Word), email, and messaging apps; familiar with GPS navigation and fleet tracking systems
• Fluent in spoken and written English and Filipino; clear and professional phone/radio manner
• Familiarity with Metro Manila roads, routes, traffic patterns, and nearby provinces
• Highly organized, detail-oriented, calm under pressure, strong problem-solver, reliable, and proactive
• Willing to work flexible hours, early shifts, weekends, or extended hours as needed
