What they need

Clubhouse Coordinator (Part-Time)

Company: Coder's Clubhouse
Location: Edina, MN (On-site)
Job Type: Part-time, approximately 20 hours per week
Pay: $20–$24/hour depending on experience

About Coder's Clubhouse

Coder's Clubhouse is a kids' coding and makerspace center in Edina, MN. Kids ages 9–18 learn programming (Scratch, Python, HTML, JavaScript, and more) in small weekly classes, along with hands-on STEM projects, homeschool programs, camps, and monthly Clubhouse Socials.

We're a growing, family-owned business looking for a friendly, organized, and dependable Clubhouse Coordinator to help manage daily operations, support our instructors and students, and create a welcoming experience for every family who walks through our doors.

Schedule: Shifts are based on our class schedule and Clubhouse needs. Hours may include select weekday afternoons and evenings (roughly 4:00–8:00 PM), Saturdays (roughly 10:30 AM–1:00 PM), monthly Clubhouse Social evenings, and flexible morning hours for administrative work. You will not be required to work every weekday. This is an after-school hours role. Daytime availability for our homeschool sessions (Tuesdays and Thursdays, 1:00 to 3:00 PM) is optional and a nice to have.

Additional daytime hours may be available during school breaks and summer camps for those interested.

What You'll Do

You'll be the friendly face at our front desk during class hours and the organized person keeping things running smoothly behind the scenes.

Front Desk & Family Experience

  • Welcome students and families and create a fun, inviting Clubhouse environment.
  • Answer parent questions about classes, memberships, camps, events, and enrollment.
  • Track student attendance, maintain class rosters, and assist families with scheduling.
  • Support instructors with classroom setup, student transitions, and other needs during sessions.

Member & Family Administration

  • Assist with new member onboarding, registrations, and membership changes.
  • Help families with routine billing, subscription, and scheduling questions using Square and our Family app.
  • Communicate class updates, schedule changes, and other important information to families.

Instructor Scheduling

  • Coordinate weekly instructor schedules and arrange substitute coverage when needed.
  • Maintain shared schedules and communicate staffing changes.
  • Collect instructor availability for camps, Clubhouse Socials, and special events.

Events & Clubhouse Socials

  • Help coordinate and host monthly Clubhouse Socials, including setup, check-in, food, and cleanup.
  • Organize event supplies, checklists, and preparations for special events and student graduations.
  • Create event registrations in Square and track sign-ups.

Space & Supplies

  • Keep the Clubhouse tidy, organized, and welcoming between professional cleanings.
  • Monitor and order general supplies and coordinate Makerspace inventory needs with instructors.
  • Keep the student XP prize cabinet stocked and organized.

What We're Looking For

  • Warm, friendly, and outgoing. This is a must! You genuinely enjoy interacting with kids and families and making people feel welcome.
  • Highly organized and detail-oriented. You're comfortable juggling multiple tasks and following through on the details.
  • Reliable and flexible. You're available for scheduled afternoon/evening shifts and some Saturdays.
  • Proactive and independent. You take initiative, solve everyday problems, and can keep things running smoothly without constant supervision.
  • A strong communicator. You're comfortable answering questions, communicating with parents and instructors, and handling unexpected situations professionally.
  • Experience is a plus. Previous work in customer service, front desk operations, education, childcare, or a small business is helpful.
  • Bonus skills. Familiarity with Facebook, Instagram, or email marketing tools such as Mailchimp.
  • No tech experience necessary!

Why You'll Like It Here

  • A small, supportive team where your ideas and contributions are valued.
  • A fun, upbeat environment surrounded by kids learning, creating, and building cool things.
  • Meaningful responsibility and the opportunity to make a real impact.
  • Flexible scheduling for administrative work outside of class hours.
  • Opportunities to grow as Coder's Clubhouse expands.
