Position Summary

The CNC Order Processing Specialist is responsible for coordinating and processing customer orders for CNC machine tools, options, and related equipment. This role manages the order lifecycle from initial order entry and approval through vendor purchasing, order confirmation, and shipment tracking. The specialist works closely with internal departments, customers, and external suppliers to ensure orders are processed accurately, documentation is maintained, and delivery schedules are communicated effectively.

Key Responsibilities

• Order Processing and Management: Process customer purchase orders received through online portals or manual submissions, including order entry, revisions, and changes to machine configurations and optional equipment.
• Order Review and Acknowledgment: Coordinate pre-order reviews and approvals, prepare customer order acknowledgments, and ensure order details are accurate and complete before processing.
• Purchasing and Vendor Coordination: Prepare and submit purchase orders to vendors, obtain order confirmations, and follow up on order status, product availability, and delivery schedules.
• Shipment Tracking and Documentation: Monitor machine and equipment shipment dates, review shipment status reports, and coordinate required export and customs documentation for shipments originating from the United States.
• Consignment and Demonstration Equipment: Coordinate order processing and documentation for consignment inventory and demonstration equipment, ensuring transactions follow established procedures.
• Customer Service and Communication: Respond to order-related inquiries, provide updates on order status and expected delivery dates, and work with internal teams and external partners to resolve order discrepancies or delays.
• Records and Database Maintenance: Maintain accurate machine, configuration, and optional equipment records, ensuring order information and supporting documentation remain current and accessible.
• Team Support and Coverage: Provide cross-functional support for order processing activities and cover essential responsibilities during team members' absences to maintain business continuity.

Qualifications & Skills

• Experience in order processing, purchasing, sales support, logistics, or customer service preferred.
• Strong attention to detail and the ability to manage multiple orders and deadlines simultaneously.
• Effective written and verbal communication skills.
• Proficiency with Microsoft Office applications and the ability to learn order management and business systems.
• Strong organizational, problem-solving, and follow-up skills.
• Ability to work collaboratively with customers, vendors, and internal departments.
