What they need

Role Objective

To drive cost efficiencies through strategic negotiations and build a robust, high-quality vendor ecosystem. This role is responsible for the end-to-end lifecycle of vendor empanelment, ensuring compliance with corporate policies while securing the best commercial terms for the organization.

Key Responsibilities

1. Strategic Cost Negotiation

  • Commercial Benchmarking: Analyze market rates and historical data to establish "target pricing" for goods and services.
  • Direct Negotiation: Lead discussions with vendors to optimize costs, payment terms, and service-level agreements (SLAs).
  • Value Engineering: Identify opportunities for cost saving without compromising quality, such as suggesting alternative materials or logistical optimizations.
  • Total Cost of Ownership (TCO): Evaluate bids not just on the base price, but on the long-term costs of maintenance, logistics, and reliability.
  • Cost Per Activation (CPA): The total spend of a specific activity divided by the number of units/leads generated.
  • Negotiated Savings: The difference between the initial vendor quote and the final contracted price. A target is usually set at 1015% per project.
  • Budget Adherence: The variance between the sanctioned budget and the actual spend. The goal is plus or minus 2%

2. Vendor Empanelment & Onboarding

  • Sourcing: Identify and screen potential vendors across various categories (e.g., fabrication, IT, logistics, facility management).
  • Due Diligence: Conduct thorough background checks, including financial stability, legal compliance, and past performance reviews.
  • Registration Process: Manage the formal empanelment process, ensuring all technical and commercial documentation is verified and stored.
  • Diversity & Localization: Actively seek a diverse range of suppliers to mitigate risk and support local procurement initiatives.
  • Payment Cycle Efficiency: Ensuring vendors are paid within the agreed credit period to maintain relationship leverage for future negotiations.

3. Compliance

  • Compliance Monitoring: Ensure all vendors adhere to statutory requirements (GST, labor laws, insurance) and corporate ethical standards.
  • Audit Readiness: Maintain rigorous documentation of the bidding and selection process to satisfy internal and external audits. Ensuring that all site permissions, local taxes, and safety certifications were commercially cleared before the event.

4. Execution & Impact

  • Cost Per Reach/Impression: In a commercial context, this measures how much it cost the company to put the brand in front of one potential customer during the activation.
  • Asset Utilization: If the activation involves reusable assets (stalls, banners, fabrication), this tracks the depreciation or cost-saving from reusing materials across multiple locations.
  • On-Time Completion (OTC): The percentage of activations that went "live" on the scheduled date. Delays in activation often result in wasted logistics and staffing costs.
  • SLA Penalty Recovery: The amount of money recovered or deducted from vendor payments due to non-performance or sub-par delivery.

Required Skills & Qualifications

  • Negotiation Mastery: Ability to remain firm on commercial interests while maintaining professional relationships.
  • Analytical Thinking: Proficiency in comparing complex quotes (Comparative Statements) and identifying hidden costs.
  • Domain Expertise: Familiarity with the specific industry (e.g., Media, Real Estate, or Manufacturing) to understand technical specifications.

Typical KPIs

  • Cost Savings: Percentage reduction in procurement costs vs. budget or previous year.
  • Empanelment Lead Time: Time taken from vendor identification to final onboarding.
  • Vendor Compliance Rate: Percentage of vendors meeting all legal and safety standards.
  • Turnaround Time (TAT): Speed of finalizing commercial closures for urgent projects
