Duties

• Handle all incoming phone calls using multi-line phone systems and operator switchboards with professionalism and courtesy.
• Manage office phone systems efficiently, ensuring prompt responses and accurate message taking.
• Assist callers by providing information, directing inquiries, or transferring calls to appropriate departments.
• Communicate clearly in multiple languages, including English and other preferred languages, to serve a diverse client base.
• Maintain accurate records of communication logs, including call details, messages, and follow-up actions.
• Support internal teams by coordinating communication efforts and ensuring timely dissemination of information.
• Demonstrate excellent phone etiquette while managing high volumes of calls in a fast-paced environment.
• Utilize Microsoft Office tools for documentation, reporting, and correspondence as needed.
• Understand basic medical terminology when applicable to facilitate effective communication within healthcare-related settings.
• Operate telephony systems efficiently to ensure smooth call flow and minimal wait times.

Skills

• Strong communication skills with the ability to convey information clearly and professionally over the phone and in writing.
• Technical proficiency with Microsoft Office applications such as Word, Excel, and Outlook.
• Experience managing multi-line phone systems, operator switchboards, and office phones effectively.
• Excellent customer service skills with a friendly demeanor and positive attitude.
• Knowledge of telephone systems, telephony technology, and phone etiquette standards.
• Ability to handle high call volumes while maintaining accuracy and professionalism.
• Familiarity with medical terminology is a plus for healthcare-related communication roles.
• Strong typing skills for quick data entry and documentation tasks.
