What they need

STAIR Galleries | Hudson, New York

STAIR Galleries is seeking a highly organized and client-focused Consignment Coordinator to join our team in the heart of Hudson, New York’s vibrant antiques and shopping district. As one of America’s leading regional auction houses, we offer exceptional expertise, exemplary client service, and a shared passion for art and antiques. This role is central to creating a seamless and positive experience for clients from initial inquiry through final settlement.

About STAIR Galleries

Established in 2001, STAIR remains intentionally small, fostering flexibility, collaboration, and highly personalized service. Our philosophy—Selling Interesting Things, From Interesting People—guides every aspect of our work. With more than 30 auctions annually, we specialize in Traditional and Modern Furniture, Fine Art, and Decorative Arts. While many auction houses have stepped away from certain collecting categories, STAIR remains committed to supporting these markets and developing the next generation of auction house talent.

The Opportunity

The Consignment Coordinator serves as a central support resource for Specialists and clients alike. You will manage inbound referrals, coordinate property intake and documentation, facilitate communication between clients and Specialists, and help ensure every consignment is prepared for successful sale. This is an ideal role for someone who enjoys building relationships, thrives in a dynamic environment, and is eager to learn more about the auction process and the world of fine art and antiques.

Key Responsibilities

  • Support Specialists with business development by preparing illustrated property lists, assisting with proposals, and coordinating client visits
  • Manage the inbound referral mailbox, direct submissions to the appropriate Specialists, and guide prospective clients through the consignment process
  • Prepare property lists by organizing photo records, gathering descriptions and estimates, and ensuring all consignment documentation is complete and accurate
  • Serve as the primary point of contact for clients throughout the consignment journey, delivering consistent, attentive service
  • Communicate pre-sale, post-sale, and settlement information clearly and professionally
  • Support auction-day operations, including client inquiries, bidder registration, and participation in live sales through telephone or online bidding platforms
  • Collaborate across departments to coordinate logistics, paperwork, and client service
  • Provide general administrative support and contribute to special projects as needed

You Will Be Successful If You

  • Enjoy building relationships and delivering exceptional client service
  • Are excited by the auction process and the opportunity to help bring sales together from start to finish
  • Are naturally curious, eager to learn, and interested in fine art and antiques
  • Thrive in a fast-paced environment and can adapt to changing priorities
  • Work collaboratively while exercising sound judgment, professionalism, and diplomacy
  • Are motivated to grow your career in a creative, client-focused setting

Ideal Experience

  • 1–2 years of experience in an administrative or client service role (required)
  • Prior experience in an auction house, gallery, museum, or fine art and antiques setting is a plus but not required
  • Proficiency in Microsoft Office Suite
  • Exceptional organizational skills and strong attention to detail
  • Excellent written, verbal, and interpersonal communication skills
  • Proven ability to manage multiple priorities and meet deadlines

This position is onsite full time.
