What they need
About Us
We are a growing, family-owned bathroom remodeling company serving San Diego County. We build high-quality, custom renovations backed by strong technical standards and precise local code compliance. We don't build generic; we build to last. Our project pipeline is expanding quickly, and we need someone to keep the administrative side of that pipeline moving.
Position Overview
We are seeking a proactive, detail-oriented Construction Administrator. This role starts at 20 hours per week, and we expect it to grow fast. We are hiring with the intent to bring the right person to full-time as our volume increases.
This is a highly autonomous role. You will be the connective tissue between our clients, our vendors, and our crew: tracking documents, chasing down answers, keeping schedules honest, and making sure nothing falls through a crack between a selection sheet and a framing inspection.
Responsiveness (Please Read)
Clients are spending a lot of money on their homes, and the single thing that makes them anxious is silence. We need someone who checks messages and responds seven days a week.
To be clear about what we mean: we are not asking you to solve unsolvable problems on a Sunday. We are asking you to acknowledge them. A reply of "Good question, I don't have that answer yet. I'm going to check with our tile supplier Monday morning and I'll get back to you by Monday afternoon" is a good response. What we want is a client who never wonders whether they were heard.
Key Responsibilities
- Client Communication: Serve as the primary point of contact for active projects. Field questions, acknowledge them quickly, route them to the right person, and close the loop.
- Project Documentation: Maintain job files, contracts, change orders, selection sheets, and finish schedules. Keep one source of truth so nobody is working off an outdated version.
- Permitting & Compliance Support: Prepare and submit permit applications, track their status with San Diego County and local municipalities, and schedule inspections.
- Procurement & Logistics: Place orders for fixtures, tile, vanities, and hardware. Track lead times, confirm deliveries, flag backorders early, and verify that what arrived matches what was specified.
- Scheduling Support: Coordinate subcontractor and inspection scheduling with the principal contractor so trades show up in the right order.
- Site Presence: Visit active job sites and attend client meetings in person as needed.
What We Are Looking For
We are open to two different backgrounds:
1. Someone building toward design or construction specific growth. You want to go deeper into construction and eventually move into a design, sales, or project manager role. This job is an unusually good seat for that, because you will see how a project actually gets built: what layouts survive contact with a plumbing stack, what finishes hold up, what clients want, and where designers create problems for the field. If that's your goal, know we're growing rapidly and we prefer to promote from within.
OR
2. Someone already experienced in construction. You have worked in remodeling, general contracting, or a trade, and you know how a job runs. You want the administrative seat rather than the tools.
Either way, we are looking for:
- Autodidactic and proactive. When you hit an unfamiliar technical question or a municipal code requirement, you enjoy researching it and finding the correct answer on your own.
- Obsessive attention to detail. You catch the small things: clearance margins, a hardware finish that doesn't match the schedule, a fixture that was ordered in the wrong size.
- Organized under pressure. Multiple projects, multiple vendors, multiple clients, and nothing dropped.
- Tech-savvy. Comfortable with digital project management and organization tools, spreadsheets, and email discipline.
Bonus:
- Familiarity with SketchUp or similar 3D modeling software.
- Comfortable using AI tools as part of your daily workflow — drafting correspondence, researching code questions, organizing information.
- Experience with Lumion or other design video creation software we could use for social media.
- Interior design training.
Hours & Growth
- 20 hours per week to start, with flexible scheduling.
- Plus responsiveness to client messages seven days a week, which in practice means checking in briefly on weekends.
- Hours will scale as our pipeline expands. We want to bring the right person on full-time as we grow, and we would rather promote from inside than hire over you.
Note
This role is largely remote and self-directed, but you must be willing to meet with clients in person and visit job sites in San Diego County.
Pay: $22.00 - $35.00 per hour
Benefits:
- Flexible schedule
- Professional development assistance
Location:
- San Diego, CA 92115 (Required)
