Construction & Specification Coordinator

Position Objective

The primary objective of the Construction & Specification Coordinator is to identify, develop, coordinate, and support construction project opportunities from the planning and specification stage through the sales process, while providing technical, administrative, and customer support to help increase specification activity and ultimately drive revenue growth.

Position Summary

The Construction & Specification Coordinator supports the company’s construction, architectural, sales, and project development efforts by coordinating construction specifications, project opportunities, customer requests, and product information. This position serves as a key resource for architects, engineers, contractors, distributors, and internal sales teams by helping identify project opportunities, provide product and technical information, and ensure the company’s products are properly positioned and specified within construction projects. The ideal candidate has an interest in construction, building science, and project management and is comfortable working across multiple departments while managing detailed project and customer information.

Specification Support:

• Develop and maintain relationships with architects, engineers, contractors, builders, and other construction professionals
• Assist with product specifications and ensure company products are accurately represented in construction documents
• Research and monitor construction projects using platforms such as MasterSpec and ConstructConnect
• Identify projects where company products may be suitable and communicate opportunities to the sales team
• Assist with requests for product data, technical documentation, submittals, specifications, certifications, and other project-related information
• Help identify opportunities to have company products included in project specifications

Building Science & Technical Support:

• Develop a working knowledge of building science, HVAC industry, energy efficiency, air distribution, and related construction principles
• Understand product performance characteristics and communicate technical information to customers and construction professionals
• Assist architects, contractors, engineers, and sales teams in selecting appropriate products based on project requirements
• Stay current on construction practices, building codes, industry standards, and emerging building science trends
• Work with internal technical and product teams to address product or application questions

Inside Sales & Customer Support:

• Provide inside sales support for assigned customers, projects, and sales representatives
• Respond to customer inquiries regarding products, availability, pricing, specifications, and applications
• Prepare and follow up on quotations and project opportunities as needed
• Identify potential sales opportunities through project research, customer conversations, and specification activity
• Work closely with sales team to transition qualified project opportunities into active sales opportunities

Data Management & Administration:

• Enter and maintain accurate project, customer, specification, and sales information within company systems
• Maintain databases, spreadsheets, CRM information, and project tracking reports
• Research and verify customer, project, contractor, and distributor information
• Ensure project and customer data is complete, accurate, and current
• Prepare reports related to project activity, specifications, opportunities, and sales pipeline
• Assist with data analysis to identify trends, opportunities, and areas for improvement

Qualifications Required:

• 2+ years of experience in construction, building products, inside sales, customer service, project coordination, or a related field
• Strong organizational and time-management skills
• Excellent written and verbal communication skills
• Strong attention to detail and ability to manage multiple projects simultaneously
• Proficiency with Microsoft Office Suite
• Ability to learn technical product information and communicate it effectively
• Ability to research and interpret construction/project information

Preferred:

• Experience working with engineers, contractors, builders, or distributors
• Experience with MasterSpec, ConstructConnect, CRM systems, or similar platforms
• Knowledge of HVAC, flexible duct, building envelope, or related construction products
• Understanding of building science and construction specifications
• Experience in inside sales or business development
• Experience reading construction plans, drawings, and specifications

Pay: From $55,000.00 per year

Education:

• Bachelor's (Preferred)

Experience:

• Inside Sales: 3 years (Preferred)
• HVAC sales: 3 years (Preferred)
• Construction sales: 3 years (Preferred)
