What they need
Construction Project & Operations Coordinator — Remote | JobTread
Part-Time with Opportunity to Grow to Full-Time | 20–25 hours/week
Landrith & Company is a residential construction and remodeling company on California’s Central Coast. We’re looking for an experienced Construction Project & Operations Coordinator to become a key support person to the owner and help keep projects, communication, schedules, and administrative details moving.
This is not a basic VA or data-entry role.
We’re looking for someone who already understands how a construction business operates and can step into the workflow with a reasonable level of independence. You should be comfortable coordinating subcontractors, tracking project details, following up with clients and vendors, working inside construction management software, and making sure important things don’t fall through the cracks.
You’ll work directly with the owner and become an important part of the day-to-day operation of the company. The right person will start part-time and has the opportunity to grow into a full-time role as the company grows.
What You’ll Be Doing
Your role will touch several parts of the business. Typical responsibilities include:
Project & JobTread Management
- Keep projects, tasks, schedules, and project information current in JobTread
- Track project status and proactively follow up on outstanding items
- Maintain project documents, photos, files, and change orders
- Help coordinate project closeout and maintain complete project files in Google Drive
- Make sure the owner has accurate, current information without having to chase it down
Scheduling & Subcontractor Coordination
- Coordinate subcontractor schedules and project timelines
- Schedule client meetings, site visits, and key project milestones
- Communicate with subcontractors and vendors to confirm schedules and outstanding needs
- Identify scheduling gaps or conflicts before they become problems
Client & Communication Support
- Help manage and organize the owner’s email inbox
- Draft and send routine client, subcontractor, and vendor communications
- Follow up on unanswered questions, decisions, bids, documents, and other outstanding items
- Help maintain timely, professional communication between the company, clients, and subcontractors
Estimating & Sales Support
- Request and track subcontractor bids
- Organize scopes, pricing, and estimating information
- Track proposals and opportunities through the sales pipeline
- Follow up with prospective clients when appropriate
- Help move projects smoothly from estimating into production
Light Bookkeeping & Administrative Support
- Work in QuickBooks Online to help enter and categorize expenses and transactions
- Enter and organize vendor invoices and client payments
- Monitor accounts receivable and assist with client follow-up
- Keep business and project records organized and accessible
Systems & Process Improvement
- Help document recurring workflows and procedures
- Identify things that are falling through the cracks and help create better systems
- Look for ways to reduce unnecessary administrative work for the owner
- Help us get more value from JobTread and the rest of our technology stack
Who We’re Looking For
We’re looking for someone who already understands construction administration or project coordination. You don’t need to know our exact way of doing things on day one, but you shouldn’t be learning construction operations from scratch.
JobTread experience is highly desirable. If you haven’t used JobTread, we’re open to candidates with strong experience in comparable construction or field-service platforms such as Buildertrend, Procore, Jobber, CoConstruct, Contractor Foreman, or similar systems.
You should also have:
- Experience supporting a construction, remodeling, building, or trades business
- Strong project coordination and organizational skills
- Excellent written and spoken English
- Confidence communicating with clients, subcontractors, and vendors
- Experience with QuickBooks Online or similar accounting software preferred
- Strong Google Workspace and spreadsheet skills
- Comfort learning and using technology, including AI tools such as ChatGPT or Claude
- Ability to manage multiple projects and priorities without constant supervision
Most importantly, we’re looking for someone who is proactive. We don’t want to have to tell you every next step. You’ll notice what’s outstanding, follow up, keep things organized, and ask good questions when you need direction.
About the Role
This is a fully remote contract position, beginning part-time with the opportunity to grow into a full-time role.
You’ll work directly with Dane Landrith, owner of Landrith & Company, and will need meaningful availability during Pacific Time business hours.
Compensation: $10–25/hour, depending on experience, construction knowledge, software expertise, location, and demonstrated ability.
There are currently no employee benefits associated with this contract role.
This Could Be a Great Fit If…
You’ve worked behind the scenes in a construction company and understand that keeping projects moving requires more than updating a spreadsheet.
You know how to follow up with a subcontractor who hasn’t sent a bid. You notice when a project schedule isn’t current. You know that an unanswered client question needs attention. You can keep project information organized, communicate professionally, and take administrative and coordination work off an owner’s plate.
If you’ve used JobTread, we definitely want to hear about it. If you haven’t, tell us which construction management systems you’ve used and what you were responsible for managing inside them.
