Position Summary
The Construction Project Coordinator keeps our projects organized from preconstruction through closeout. Working alongside Project Managers, Project Engineers, and Superintendents, this role manages the documents, schedules, communication, and paperwork that keep a job moving — balancing multiple projects and priorities while providing day-to-day support to the office and field teams.
Career Path
We believe in growing our people from within. This role is a strong foundation for advancing to Project Engineer, with mentoring and hands-on exposure to estimating, design coordination, and project controls along the way.
What You'll Do
Preconstruction & bidding
- Distribute plans, specifications, and bid packages to subcontractors and suppliers; track bid responses and follow up on outstanding bids.
- Prepare subcontract and purchase order paperwork for Project Manager review.
Document control
- Maintain project records in Buildertrend, including drawings, submittals, RFIs, change orders, and correspondence.
- Make sure the office and field teams are always working from the current set of drawings and documents.
- Log, route, and track RFIs, submittals, and shop drawings; follow up on open items until closed.
- Log change orders and route them to the project team for review and approval.
Scheduling & meetings
- Enter weekly schedule updates in Buildertrend with input from the Superintendent and Project Manager.
- Schedule project meetings; prepare and distribute agendas and meeting minutes, and track action items.
- Coordinate permits, inspections, and material deliveries with the field team.
Client selections & procurement
- Track client selections, finish approvals, and long-lead orders, working closely with designers and our in-house cabinet shop.
Subcontractor & financial administration
- Collect and track subcontractor insurance certificates, contracts, and lien releases.
- Support billing and vendor paperwork with the accounting team.
- Code and enter subcontractor and supplier invoices and job receipts in Buildertrend to the correct project and cost codes (synced to QuickBooks), and route them to the Project Manager for approval.
Closeout
- Compile punch lists and track completion with the Superintendent.
- Assemble closeout packages, including warranties, as-built drawings, operation and maintenance manuals, and final lien releases.
Team support
- Manage multiple priorities across projects while serving as a reliable point of contact for clients, subcontractors, and our internal team.
- Learn and help improve Slarve's project management processes and software.
What You Bring
- At least two years of experience in construction project coordination, project administration, or a similar support role.
- Familiarity with construction documents, including plans, specifications, and subcontracts.
- Strong organizational skills and the ability to manage multiple priorities and deadlines across projects.
- Clear, professional written and verbal communication with clients, subcontractors, and team members.
- High attention to detail and follow-through.
- Comfort with project management software and Microsoft Office, especially Excel and Outlook.
- Good judgment, a positive attitude, and a practical, team-first approach to solving problems.
Nice to Have
- Experience in high-end residential or custom home construction.
- Experience with Buildertrend.
- Experience tracking client selections or working with designers and cabinet or millwork shops.
