The Opportunity
An exciting opportunity has become available for a Contract Administrator to join an established HVAC contractor delivering major mechanical services projects across Melbourne.
The business has a strong presence within the Data Centre and Critical Infrastructure sector, delivering technically complex HVAC and mechanical services packages on major projects.
This role would suit a Contract Administrator with experience in HVAC, mechanical services or construction who is looking to develop their commercial and project management skills within a specialist contractor.
You will work closely with Project Managers, engineers, subcontractors, suppliers and clients, gaining exposure to the full commercial lifecycle of HVAC projects.
 
Key Responsibilities

• Provide commercial and contractual support across HVAC and mechanical services projects.
• Assist with the administration of subcontractor and supplier agreements.
• Prepare, issue and manage subcontractor documentation and correspondence.
• Assist with progress claims, payment schedules and variations.
• Monitor project costs, commitments and expenditure.
• Assist with the preparation and assessment of variations and extension of time claims.
• Review contracts, scopes, drawings and project documentation.
• Assist Project Managers with procurement and subcontractor negotiations.
• Maintain accurate commercial and project records.
• Assist with monthly reporting, forecasting and cost tracking.
• Liaise with subcontractors, suppliers, consultants and clients to resolve commercial matters.
• Assist with project close-out, final accounts and documentation.
• Identify potential commercial and contractual risks and escalate where appropriate.

About You
We are looking for a commercially minded Contract Administrator who understands the construction environment and is keen to develop their career within the HVAC and critical infrastructure sector.
You will ideally have:

• Previous experience as a Contract Administrator within construction, HVAC, mechanical services or building services.
• Experience working for a contractor, subcontractor or specialist services provider.
• Understanding of construction contracts, subcontractor management and commercial processes.
• Experience with variations, progress claims, procurement and cost tracking.
• Ability to read and understand construction drawings, scopes and specifications.
• Strong attention to detail and organisational skills.
• Excellent written and verbal communication skills.
• Ability to build strong relationships with project teams, subcontractors and clients.
• Strong commercial awareness and a proactive approach to problem solving.

HVAC / mechanical services experience is highly desirable.
Experience across Data Centres, Critical Infrastructure, Commercial, Healthcare or other technically complex environments will also be highly regarded.
