What they need

Help a growing immigration law firm build the financial foundation for what’s next. Our team, our client base and our technology are all scaling, and our finances need to be just as strong behind them.

Vasquez Law Firm is hiring a Controller to own all finance operations at the firm: general accounting, billing, accounts receivable and payable, trust accounts, payroll, cash management, tax reporting, budgeting and financial planning. This is a fully remote position.

This is not a data-entry role. You’ll work directly with the Owner/CFO and the Senior Management Team, lead the firm’s finance team, and be the person who spots a risk before it becomes a problem and brings a solution with it.

If you like clean books, strong controls and being the person leadership trusts with the numbers, keep reading.

Responsibilities

  • Lead the finance team: Supervise the Bookkeeper, Billing Specialist and any outside financial vendors, including hiring decisions and performance reviews. Until those positions are filled, perform their functions directly.
  • Own the financial systems: Oversee billing, trust account management, A/R, collections, bookkeeping, expenses, A/P, payroll, audits and taxes. Help plan and implement changes to the accounting system.
  • Budget and planning: Work with the Owner and Senior Management Team on the business plan and budget adjustments. Implement the firm’s annual budget and make sure the firm sticks to it.
  • Controls and risk: Implement and enforce the firm’s risk management and financial controls. Identify risks and recommend new controls to protect the integrity of the firm’s financials.
  • Cash and accounts: Monitor bank, credit card, deposit and trust account balances and incoming payments every day.
  • Accounts payable: Receive, review, approve, pay and record vendor and subcontractor invoices in QuickBooks.
  • Reconciliations and reporting: Support monthly reconciliations of trust accounts, A/R and all bank accounts. Help prepare financial statements, key reports and budgets, and advise the Owner/CFO on issues and solutions.
  • Billing and A/R: Make sure bills go out on time and clients follow their payment plans. Track and report on A/R, flag past-due accounts, and help shape collection policies. Oversee communication with clients about past-due balances and payment arrangements.
  • Client billing issues: Resolve client billing questions and concerns. Oversee disputes, chargebacks and refunds with the Merchant Service Provider (refunds only with the Owner’s approval).
  • Payroll: Prepare bi-weekly payroll (hours, leave and overtime), benefits and contractor payments for the Owner’s approval.
  • Client costs: Track costs advanced to clients and keep the case management and accounting systems up to date.
  • Tax and compliance: Prepare annual financial statements and reports for the CPA, 1099 forms for subcontractors, and all required state and federal tax reports. Make sure annual state, county and city licenses are renewed.
  • Analysis: Provide first-level review, data gathering and analysis for strategic and operational planning.

Qualifications

  • Bachelor’s degree in accounting, finance, business administration or a related field
  • Significant accounting experience, including in a professional services firm
  • Experience in the legal industry or a similar professional services environment
  • Experience supervising and managing an accounting team
  • Proficiency in QuickBooks and advanced Excel skills
  • Ability to analyze financial data, identify trends and make informed decisions
  • Strong written and verbal communication skills for reporting to the Owner and the team
  • High attention to detail and accuracy in financial records and reporting
  • Ability to lead and develop a team, manage projects and implement financial strategies

Preferred:

  • MBA or Master’s in Accounting
  • Experience with legal practice management systems
  • Bilingual in English and Spanish
