The Opportunity

A Platform for Those Who Deliver.

Whether you're in a frontline role, a specialist function, or a leadership position, every role presents an opportunity to make a meaningful impact.

Roles and Responsibilities

You Take Ownership. You Deliver With Precision.

You approach your responsibilities with discipline, a clear understanding of what the business requires, and a consistent attention to quality - working collaboratively and focused, at all times, on delivering meaningful output.

What We’re Looking For

  • A Diploma or Certificate in a travel-related discipline (IATA qualification preferred), with proven experience in corporate travel coordination and visa processing.
  • A minimum of 3 years' experience in a corporate travel, executive travel, or hospitality travel coordination role within a fast-paced environment.
  • Proven experience managing end-to-end travel arrangements for senior stakeholders, including Directors, Executive Leadership, and C-suite executives.
  • Comprehensive knowledge of international visa requirements and application processes, particularly for the USA, UK, Schengen countries, China, UAE, and other global destinations.
  • Strong understanding of airline fare structures, travel policies, hotel contracting, airport transfers, and global travel booking platforms.
  • Experience working with travel management companies and external travel partners, with the confidence to negotiate, coordinate, and resolve travel-related matters efficiently.
  • Experience managing travel billing, monthly accruals, invoice reconciliation, and financial administration. Working knowledge of SAP Ariba or similar procurement and invoice management systems is highly desirable.
  • Exceptional organisational and time management skills, with the ability to manage multiple urgent requests while maintaining complete accuracy.
  • Outstanding stakeholder management skills, with professionalism and confidence to communicate effectively with senior leadership and build strong working relationships across all levels of the organization.
  • A proactive, solution-driven mindset with excellent problem-solving abilities and the confidence to make informed decisions under pressure.
  • Meticulous attention to detail, ensuring complete accuracy across travel bookings, visa documentation, financial records, and reporting.
  • Excellent verbal and written communication skills in English. Additional languages are considered an advantage.
  • A flexible, service-oriented approach, recognizing that travel requirements in a luxury hospitality business often extend beyond standard office hours. A hands-on, "Can Do" attitude with a genuine passion for delivering seamless travel experiences and providing exceptional internal customer service.

Key Responsibilities

  • Manage the end-to-end travel process for all stakeholders, including flights, hotel reservations, airport transfers, travel itineraries, and any special travel requirements.
  • Deliver exceptional service and build strong relationships with Directors, Senior Management, C-suite Executives, and other stakeholders, ensuring a seamless travel experience.
  • Respond promptly to travel requests, managing multiple priorities with speed, accuracy, and attention to detail in a fast-paced environment.
  • Proactively manage travel disruptions, itinerary changes, and urgent requests, providing timely solutions while minimizing business impact.
  • Oversee the complete visa process, including new applications, renewals, appointment scheduling, document preparation, and submission, with strong knowledge of visa requirements for the USA, UK, Schengen, China, UAE, and other key destinations.
  • Build and maintain effective relationships with travel agencies, visa providers, airlines, hotels, and other external partners to ensure efficient service delivery and competitive commercial outcomes.
  • Manage the monthly travel billing cycle, including invoice reconciliation, timely submission of accruals, processing invoices through SAP Ariba, and actively following up with internal stakeholders to ensure supplier payments are processed within agreed timelines.
  • Maintain accurate travel records, financial documentation, visa trackers, and reporting in accordance with company policies and audit requirements.
  • Act as the primary point of contact for all travel-related enquiries, providing professional guidance and delivering exceptional stakeholder experience.
  • Demonstrate flexibility by supporting urgent travel requirements outside standard business hours, including evenings, weekends, and public holidays, when business needs require. Continuously identify opportunities to improve travel processes, enhance operational efficiency, and elevate the overall travel experience across the business.
