Creative Production Coordinator

Job Overview:

Our client is looking for a highly organized and detail-oriented Creative Production Coordinator to support their creative team with asset management, design file preparation, print production quality checks, and vendor-ready deliverables. The ideal candidate has a basic understanding of print production requirements and can carefully review creative materials to ensure accuracy, consistency, and brand alignment before they are sent for production. This role requires someone who takes pride in getting the details right, communicates proactively, and understands how small errors can affect production costs, timelines, and overall quality.

Schedule: Monday - Friday, 9:00 AM - 6:00 PM, Santa Rosa, CA, with a 1-hour unpaid break; Full-time role

Responsibilities:

• Maintain and organize the Creative Assets Tracker in Google Sheets.
• Support updates and revisions to the Creative Design Deck in Google Slides.
• Organize and maintain creative files, folders, and production assets in Google Drive.
• Assist with preparing, editing, and modifying design files for print production.
• Review creative proofs carefully for spelling, copy accuracy, margins, bleed, color, sizing, and vendor specifications.
• Verify color codes, export settings, file formats, dimensions, and other print production requirements.
• Help ensure brand fidelity and consistency across creative deliverables and printed materials.
• Flag discrepancies, potential production issues, risks, or changes that may impact cost, timing, or production quality.
• Communicate project updates, questions, concerns, and next steps clearly to the Creative Producer.
• Support and organize production-ready files and materials for vendor-ready handoffs.
• Follow established quality control processes to minimize errors and avoid unnecessary reprints or production delays.

Requirements:

• Basic understanding of print production requirements, including bleed, margins, color specifications, sizing, and file exports.
• Familiarity with print-ready file preparation and common production file formats, such as PDF, AI, EPS, or other relevant formats.
• Proficiency in Google Sheets, Google Slides, and Google Drive.
• Strong attention to detail, particularly when reviewing creative assets, proofs, and production specifications.
• Ability to identify inconsistencies in text, colors, dimensions, layouts, and file settings.
• Strong organizational and time management skills, with the ability to manage multiple tasks and deadlines.
• Clear written and verbal communication skills.
• Ability to work independently, follow instructions, and proactively flag potential issues.
• Willingness to ask questions and confirm specifications rather than make assumptions that could affect production.
• A collaborative, dependable, and quality-focused approach to work.

Preferred Qualifications:

• Previous experience in graphic design support, creative production, print production, prepress, or a related field.
• Experience coordinating with print vendors or preparing files for external production.
• Familiarity with Adobe Acrobat and design applications such as Adobe Illustrator or Photoshop.
• Basic knowledge of CMYK, RGB, and Pantone color systems, and when each may be required.
• Understanding of print specifications, including resolution, trim size, safe areas, bleed, and crop marks.
• Experience maintaining creative trackers, asset libraries, or production documentation.
