What they need

Our client, a boutique agency, is looking for a Creative Project Coordinator to join their team fulltime.

You will manage the day-to-day workflow and operations of the Creative Department, helping ensure that projects are properly briefed, scheduled, tracked, reviewed, and delivered accurately and on time.

This role is mostly remote; however, you must attend a mandatory on-site meeting one day a month in NYC and should be commutable to NYC.

The ideal candidate is an exceptional organizer and communicator who is comfortable managing multiple projects simultaneously, following up with team members, identifying potential issues before they become problems, and maintaining a high level of attention to detail. This is not primarily a creative or design position. It is a creative operations role for someone who understands how an agency works and can help keep the creative process organized, efficient, and accountable.

Responsibilities

-Creative Workflow Management: Manage the day-to-day flow of projects through the Creative Department, helping ensure assignments move efficiently from kickoff through final delivery.

-Timeline Development: Work closely with Account teams to establish realistic creative timelines, milestones, review periods, and delivery dates.

-Schedule Management: Track active projects and ensure creative team members are working toward agreed-upon deadlines.

-Work Order Management: Review incoming work orders and briefs to ensure assignments contain the information and assets Creative needs to begin work.

-Project Compliance: Help ensure completed creative work delivers against the original work order, client brief, and requested deliverables.

-Proofreading & Creative Proofing: Provide a first level of review for spelling, grammar, dates, product names, SKUs, packaging, imagery, logos, and other key details before work moves to senior creative or client review.

-Brand & Asset Accuracy: Help confirm that current and correct product images, packaging, logos, brand assets, and other materials are being used.

-AI Documentation: Maintain required AI journaling, documentation, disclosures, and other internal processes related to the use of AI-generated content.

-Project Tracking: Maintain visibility into the status of active creative assignments and proactively flag scheduling conflicts, missing information, overdue feedback, or other issues that could impact delivery.

-Team Coordination: Coordinate with Creative, Account, Production, and other departments to ensure everyone understands project status, responsibilities, and next steps.

-File & Asset Organization: Help maintain organized project files, creative assets, reference materials, and final deliverables.

-Process Improvement: Identify opportunities to improve workflow, communication, and organization within the Creative Department.

Qualifications:

-The ideal candidate is extremely organized, detail-oriented, proactive, and comfortable managing many moving pieces at once.

-1+ years of relevant experience required

-Agency, marketing, production, project management, traffic, or creative operations experience would be valuable, but the most important qualities are strong organizational skills, attention to detail, follow-through, and the confidence to keep projects and people moving.

-This person should be comfortable asking questions when information is missing, following up when deadlines are approaching, and catching mistakes before work leaves the department.

What Success Looks Like

-The Creative Department is more organized, deadlines are clearer and more consistently met, fewer errors make it through the review process, and Creative leadership spends less time managing schedules, chasing information, checking basic details, and handling administrative tasks.

-The person in this role ultimately becomes the operational backbone of the Creative Department, allowing the creative team to spend more of its time focused on ideas and execution while ensuring the process behind the work runs smoothly.

In this position, you may have access to client or customer systems, confidential and/or proprietary information or data. This position is onsite and requires you to work closely with other individuals in a collaborative team environment.
