Creative Residency Admin & Program Coordinator

Job Opening: Creative Residency Admin & Program Coordinator | Caravane Earth, Doha

Caravane Earth is looking for an organized, proactive coordinator to manage the day-to-day operations of our Creative Residency unit, supporting artisan programs, production and events.

Key responsibilities

Creative Residency administration and program coordination

• Handle day-to-day administration, including emails, client inquiries and follow-up on pending balances and payments
• Schedule and manage in-house artisan workshops and programs: confirm artisan availability, dates and requirements, and share finalised details with the Marketing Team
• Act as the main focal point for the Creative Residency unit, keeping all teams informed and following up on outstanding tasks
• Coordinate with artisans for events, workshops, exhibitions, photoshoots and video shoots
• Schedule in-house and freelance musicians for events and concerts, and oversee the music studio assets
• Process and record sales for Creative Residency workshops, programs and events in Epicor/Salesforce and the Creative Residency Excel file

Production support

• Prepare and submit material requisitions, sales orders, invoices, proforma invoices and quotations through Epicor and Salesforce
• Request new item and material codes and ensure completed items are transferred to the right business unit or the Concept Store
• Maintain the Creative Residency Production file, recording new products and production updates from Carpentry, Textile, Sewing and Embroidery
• Coordinate furniture production, repair and refurbishment requests through to completion
• Follow up with Procurement on materials to keep production on schedule
• Arrange transport and delivery of finished products to clients and the Concept Store

Events and operations support

• Prepare lists of assets, equipment and materials for event setups, both on the farm and at external events
• Coordinate delivery, collection and return of event items with the Assets Team
• Arrange musicians and artisans for events, and coordinate service payment requests, invoices and documents with HR and Finance
• Assist with on-site event setup, ensuring all materials and equipment are in place

Ideal candidate (suggested; edit to match your requirements)

• Experience in administration, coordination or operations, ideally in the arts, crafts or events sector
• Strong organisation, communication and follow-up skills
• Working knowledge of Excel; experience with an ERP or CRM system such as Epicor or Salesforce is an advantage
• Able to work with artisans, production teams and clients
