CREDIT AND COLLECTIONS ADMIN

About the role

The Credit and Collections Admin supports the efficient processing of sales orders, financial documents, accounts receivable transactions, and collection activities. The role is responsible for maintaining accurate records, monitoring customer accounts, preparing reports and commission computations, and coordinating with Sales, Accounting, and other departments to ensure timely and accurate credit and collection processes.

Key responsibilities

• Efficiently process and verify Sales Orders (SO) to ensure accuracy, completeness, and timely processing of customer orders.
• Encode Collection Receipts (CR), Provisionary Receipts (PR), Debit Memos (DM), Credit Memos (CM), and other related documents in both the ERP system and Acumatica.
• Perform Accounts Receivable (AR) analysis and reconciliation for the Visayas and Mindanao areas, including monitoring customer balances, outstanding receivables, payments, and account discrepancies.
• Prepare sales and collection commission computations for VisMin Territory Sales Representatives (TSRs), ensuring accuracy and completeness of supporting data.
• Prepare monthly sales, collection, and accounts receivable reports for monitoring, analysis, and management reference.
• Prepare and issue collection letters to customers with outstanding or overdue accounts and assist in monitoring collection follow-ups.
• Monitor customer accounts and aging receivables to support timely collection and proper account management.
• Coordinate with Sales, Technical Sales Representatives (TSRs), Accounting, and other concerned departments regarding customer accounts, payments, sales orders, collections, and account discrepancies.
• Maintain accurate and organized credit, collection, sales, and accounts receivable records for proper documentation and reference.
• Other administrative tasks that may be assigned from time to time.

Qualifications:

• Graduate of Accountancy, Finance, Business Administration, or a related course.
• With at least 1 year of relevant experience in Credit and Collections.
• With strong knowledge of accounting principles, credit management, and collection processes.
• With excellent communication and interpersonal skills.
• Highly analytical, detail-oriented, and capable of making sound decisions.
• Proficient in MS Excel and financial/accounting systems such as ERP and Acumatica.
• With strong organizational and time-management skills and the ability to handle multiple tasks and deadlines.
