Crewing Assistant – Offshore Catering

We are looking for an experienced Crewing Assistant to support the recruitment, documentation, travel arrangements, and daily coordination of catering personnel working on offshore projects.

Key Responsibilities

• Coordinate with offshore catering crew regarding mobilization, demobilization, joining dates, rotations, and travel plans.
• Maintain and verify crew documents, including passports, visas, medical certificates, safety certificates, food-safety certificates, seaman books, and other client-required documents.
• Arrange flight tickets, accommodation, airport transfers, transportation, and other travel requirements.
• Coordinate crew changes and ensure personnel report on time for deployment.
• Communicate with crew members, recruitment agencies, travel agents, clients, and offshore site representatives.
• Prepare and submit crew documentation packages for client approval and mobilization.
• Monitor document and certificate expiry dates and follow up on renewals.
• Maintain accurate crew records, databases, personnel files, and deployment schedules.
• Assist with onboarding, induction, contract documentation, and joining instructions.
• Handle crew queries and resolve travel, documentation, and mobilization issues promptly.
• Prepare regular crew reports and provide administrative support to the HR or Operations Manager.
• Ensure all activities follow company procedures, client requirements, and applicable offshore and maritime standards.

Requirements

• Previous experience in crewing, offshore catering, manpower coordination, marine operations, or a similar field.
• Good knowledge of offshore crew documentation, mobilization procedures, and travel arrangements.
• Experience in booking flight tickets and coordinating hotels, airport transfers, and crew transportation.
• Good understanding of offshore certificates, medical requirements, visas, passports, and other employment documents.
• Strong communication and coordination skills, with the ability to speak professionally with crew members and clients.
• Good written and spoken English.
• Strong organizational skills and attention to detail.
• Ability to work under pressure, meet deadlines, and manage several crew movements at the same time.
• Good knowledge of Microsoft Office, especially Excel and Outlook.
• Previous experience with offshore catering personnel or marine crew will be an advantage.
