Crewing Executive

About the Role

Our client is seeking an experienced Crewing Executive to support the planning, coordination and administration of crew operations for its vessels. The role will oversee crew deployment, crew changes, documentation, certification and other day-to-day crewing matters, while ensuring vessels are appropriately manned to meet operational requirements.

The successful candidate will work closely with crew members, vessel personnel, manning agencies and other stakeholders, with a focus on supporting FG and FSU vessels with multiple crew.

Monday – Friday: 9 AM – 6 PM

HQ location: Central-East Singapore, Taiseng

Key Responsibilities

• Manage and coordinate crew planning, deployment, rotation and crew changes for assigned vessels.
• Coordinate crew joining and sign-off arrangements, including flights, accommodation, transportation, visas and other travel logistics.
• Liaise with vessel Masters, crew members, manning agencies, local agents and relevant stakeholders on crewing matters.
• Monitor crew availability and ensure vessels are adequately manned according to operational requirements.
• Maintain accurate and updated crew records, databases and personnel documentation.
• Monitor the validity of crew certificates, medical fitness, personal documents, visas, licences and other required documentation.
• Coordinate crew employment matters, including employment contracts, Seafarers' Employment Agreements (SEA), leave, repatriation and related documentation.
• Assist with crew payroll, allowances, claims and other crew administration matters.
• Support the recruitment, selection and onboarding of seafarers, including coordinating interviews and pre-employment documentation.
• Monitor crew training and certification requirements and coordinate necessary courses or renewals.
• Attend to crew queries and support crew welfare matters when required.
• Prepare crewing reports, correspondence and other documentation for management.
• Ensure crewing activities comply with company policies, applicable maritime regulations and vessel requirements.
• Support the Crewing Manager and perform other crewing or administrative duties as assigned.

Requirements

• Diploma or Degree in Maritime Studies, Business Administration, Human Resources or a related discipline.
• Minimum 2 years of relevant experience in crew management, crewing operations or a similar maritime role.
• Experience managing crew for Foreign-Going (FG) and Floating Storage Unit (FSU) vessels is preferred.
• Experience coordinating and managing multiple crew.
• Good understanding of crew planning, crew changes, deployment and repatriation processes.
• Familiar with seafarer documentation, employment contracts, certification and medical requirements.
• Knowledge of relevant maritime regulations and crewing requirements would be advantageous.
• Good communication, coordination and interpersonal skills, with the ability to liaise effectively with crew and various stakeholders.
• Proficient in Microsoft Office applications and comfortable maintaining crew records and databases.
• Organised and detail-oriented, with the ability to manage multiple crewing matters and deadlines.
• Able to work effectively both independently and as part of a team.
• Positive, responsible and proactive approach to work.
