CRM Project Manager (Contract)

Key Responsibilities

Project Leadership & Governance

• Oversee the entire project lifecycle across four phases: Core Implementation, API Integration, Advanced Reporting, and Continuous Improvement.
• Coordinate with external vendors, manage project timelines, and ensure all milestones are met within the budget.
• Provide regular progress reports to the Board and the designated Project Governance Director.

Needs Assessment & Vendor Management

• Conduct a deep-dive assessment of organisational requirements to ensure the CRM is tailored to specific workflows.
• Lead the tender process, including vendor research, evaluation, and selection based on feature set, cost, and NGO track record.

Technical Oversight & Data Integrity

• Develop and execute a comprehensive data migration plan from the legacy Raiser’s Edge system.
• Ensure the new system meets PCI DSS compliance and modern cybersecurity standards.
• Manage API integrations with third-party tools such as payment gateways, WhatsApp Business, and IP phone systems.

Change Management & Training

• Design and implement a training program to ensure high user adoption across Fundraising, Communications, and Supporter Service teams.
• Apply the "WIIFM" (What’s In It For Me) principle to address staff resistance and highlight automation benefits.
• Maintain detailed documentation of all custom processes to ensure long-term knowledge redundancy.

Job Requirements

Education & Experience

• Bachelor’s Degree in Information Technology, Computer Science, Business Administration, or a related field.
• Proven Experience: Minimum of 5+ years in project management, specifically leading large-scale CRM implementations (e.g., Salesforce, Dynamics, or custom builds).
• Sector Knowledge: Experience working with NGOs or non-profit organisations is highly preferred.
• Technical Familiarity: Prior experience with Blackbaud Raiser’s Edge (RE) is a significant advantage for managing data migration.

Technical Skills

• Project Management Methodologies: Proficiency in Agile project management is essential.
• System Integration: Strong understanding of APIs and integrating CRM with payment gateways and communication platforms (SMS/WhatsApp).
• Compliance: Knowledge of data protection laws and PCI DSS requirements.
• Language Support: Understanding of multi-language system environments.
• AI Knowledge: Knowledge and experience with AI applications and technologies are preferable.

Soft Skills

• Stakeholder Management: Ability to communicate technical concepts to non-technical staff and board members.
• Problem Solving: Analytical mindset to identify roadblocks and develop mitigation strategies.
• Leadership: Ability to lead cross-functional teams (IT, Data Operations, Web/Payment staff) without direct reporting lines.
