Customer Accounts Assistant

Role Overview

We're looking for a Customer Accounts Assistant to join our team and help keep customer accounts, payments and reconciliations running smoothly. You'll work across Finance and Customer Operations, partnering with teams across the business to resolve account enquiries, improve processes, and support a seamless customer experience.

We're looking for someone who enjoys problem-solving, loves getting the details right, and takes ownership of seeing things through to resolution. You'll also be someone who spots opportunities to improve processes, simplify admin and make better use of systems and automation.

Key Responsibilities

• Manage customer enquiries relating to invoices, payments, statements, credits and account balances.
• Provide timely, professional support to customers and internal teams, resolving account and payment issues efficiently.
• Process payments, allocate incoming funds and assist with overdue account follow-up.
• Complete daily bank, merchant and clearing account reconciliations, ensuring transactions are accurately recorded.
• Reconcile payment platforms including Shopify, Stripe, Square, Secure Pay and Amex, investigating and resolving discrepancies as required.
• Prepare credit notes, journals, account adjustments and Direct Debit ABA files.
• Maintain accurate customer account information across ERP and ordering platforms.
• Support month-end finance activities, reporting and reconciliations.
• Identify opportunities to improve processes, reduce manual administration and improve data accuracy.
• Maintain process documentation and support the effective use of systems and automation.
• Assist with other finance and administration tasks as required.

We'll love you if you have:

• An accounting, bookkeeping, or relevant qualification.
• 3+ years' experience in Accounts Receivable, Credit Control or Customer Accounts.
• Experience managing reconciliations, payment processing and financial transactions.
• Experience working with accounting or ERP systems.
• Strong attention to detail and the ability to identify and investigate discrepancies.
• Excellent communication and stakeholder management skills.
• Experience with NetSuite, Shopify, Stripe, Square or similar platforms is highly regarded.
• Exposure to FMCG, wholesale, food manufacturing or customer-facing businesses is a bonus.
