Assistant to Repairs Project Manager & Commercial Water Mitigation Project Manager

About the Role

We are seeking a highly organized, detail-oriented Customer Experience Representative to support our Repairs Project Manager and Commercial Water Mitigation Project Manager. This role is ideal for someone who thrives in a fast-paced environment, communicates professionally, and enjoys being the backbone of a busy operations team.

You will serve as a key point of contact for clients while assisting project managers with scheduling, documentation, and daily administrative coordination.

Key Responsibilities

• Facilitate phone calls and communications for Project Managers
• Assist with scheduling appointments, site visits, and project timelines
• Monitor and organize email correspondence
• Maintain accurate project documentation and records
• Prepare and edit documents using Microsoft Word
• Create and manage spreadsheets using Microsoft Excel
• Support estimating and documentation processes (experience with Xactimate is a plus — willing to train the right candidate)
• Provide professional, courteous customer communication
• Ensure smooth coordination between office and field teams

Qualifications

• Strong organizational and multitasking skills
• Professional phone and email communication skills
• Proficiency in Microsoft Word and Excel
• Experience in restoration, construction, or insurance-related fields is a plus
• Xactimate experience preferred but not required (training provided)
• Ability to work independently and as part of a team
• Detail-oriented with strong follow-through
