What they need

Bring your exceptional customer service skills to the forefront – connect, coordinate, and support our teams to deliver outstanding customer experiences.

About Us:

Global Facilities Maintenance (GFM) is a leading provider of facilities maintenance and service solutions, delivering comprehensive programmed maintenance, reactive maintenance, equipment installation and warranty servicing across Australia. We support customers across commercial, retail, industrial, government, health and aged care, as well as the food and beverage sectors.

As part of the Dunbrae Group of Companies, GFM also has access to extensive spare parts, equipment and logistics capabilities, allowing us to provide end-to-end support to keep our customers' facilities and equipment operating efficiently.

Why You’ll Love Working with Us:

We believe our people are what set us apart. It's a workplace built on genuine teamwork, where delivering great service and enjoying what you do go hand in hand.

This is a great opportunity for a driven professional ready to make a real difference. Here's what's on offer:

  • A competitive remuneration package aligned to your skills and experience.
  • An opportunity to be a part of a diverse, inclusive, and collaborative work environment.
  • Access to various employee benefits, rewards and recognition programs.
  • A supportive, experienced leadership team behind you every step of the way

About the Opportunity:

This role is ideal for someone who thrives on challenges, excels in communication, and is passionate about delivering top-tier service. You’ll manage service jobs from start to finish, from logging and confirming jobs through to coordinating technicians, following up approvals and parts, and ensuring completed jobs are ready for invoicing. You’ll be someone who keeps things moving, communicates clearly and takes ownership of your work.

We're looking for a Customer Relations Administrator who thrives on getting things done right, the first time. You'll be the vital link between our clients, our technicians, and our internal teams - logging jobs, confirming details, chasing approvals, and making sure nothing falls through the cracks.

What You’ll Be Doing:

  • Answering customer and sales team calls, logging jobs accurately via our Call Centre system
  • Liaising with our Customer Service Coordinators to get jobs allocated quickly.
  • Contact customers to confirm service bookings and ETAs.
  • Following up quotes, proforma invoices, parts supply, upgrade approvals and reattendances.
  • Reviewing quotes and proforma invoices before submission to client.
  • Following up on outstanding customer approvals, ordering parts promptly and keeping clients updated on ETAs.
  • Reviewing warranty jobs and submitting claims where needed.
  • Reviewing completed jobs before they're processed for invoicing.
  • Working closely with all internal and external stakeholders to keep work flowing smoothly.

What We’re Looking For:

The successful candidate in this role will possess enthusiasm and energy and enjoy helping customers and keeping things organised. You’ll have strong attention to detail, the ability to manage competing priorities and a practical approach to solving problems.

  • Relevant tertiary qualification
  • Exceptional written and verbal communication skills
  • A genuine understanding of customer workflows and what great service looks like
  • Basic to intermediate skills across Word, Excel, PowerPoint and internet-based systems
  • A sharp eye for detail - you can spot when something's off and know how to fix it
  • The ability to juggle competing priorities and multiple customers without dropping the ball
  • Confidence working autonomously and solving problems on the fly
  • Strong stakeholder management - you know how to set expectations and follow through
  • Experience working with customer service workflows and processes
  • Comfort working with (or quickly learning) relational databases
  • The ability to remain calm and organised under pressure

If you’re customer-centric and ready to take on a rewarding challenge and contribute to our exciting growth, we’d love to hear from you.
