The Customer Service and Billing Assistant creates a welcoming, professional, and supportive experience from the moment someone walks through our doors. In addition to providing excellent front-desk customer service, this position supports essential billing activities. The ideal candidate takes pride in creating a positive first impression and can confidently balance customer service with detailed administrative responsibilities. This is a great opportunity for someone who is organized, compassionate, professional, and comfortable working in a busy environment where priorities can change throughout the day.

What You'll Do

Create a Welcoming Client Experience

  • Welcome clients, visitors, and staff with warmth, professionalism, and respect.
  • Check clients in for appointments and notify providers through MS Teams.
  • Maintain a clean, organized, comfortable, and welcoming lobby and front-desk area.
  • Answer incoming calls and direct callers to the appropriate staff.
  • Give clients appointment reminders and encourage them to keep their appointments.
  • Schedule assessments and appointments.
  • Collect documentation and maintain accurate trackers.
  • Scan documents into CareLogic and route original documents to the billing department.

Support Billing and Administrative Operations

  • Assist with payer correspondence, disputes, appeals, and other collection-related projects.
  • Complete admission and discharge forms and upload them to the appropriate portal.
  • Fulfill insurance company records requests and document them in client charts.
  • Verify client insurance eligibility using Medicaid and Etactics portals.
  • Enter Brief Addiction Monitoring (BAMS) and Outcome Questionnaires (OQ) into the billing system.

Help Keep CND Running Smoothly

  • Open the facility at the beginning of the day, including turning off the alarm, unlocking doors, preparing the lobby, and preparing coffee.

  • Close the lobby at the end of the day, ensuring the building is empty, setting the alarm, and securing the facility.

  • Help maintain consistent front-desk coverage and a professional environment.

  • Complete additional responsibilities and projects assigned by the supervisor or CEO.

What We're Looking For

Preferred Qualifications

  • High school diploma or equivalent.
  • Some college or technical school coursework preferred.
  • At least six months of job-related experience, preferably in a medical clinic, behavioral health center, or other healthcare related customer-service setting.

Skills and Strengths

  • Excellent verbal and written communication skills
  • Strong organizational skills, problem-solving skills, and attention to detail
  • Ability to multitask and remain composed in a busy or fast-paced environment
  • Patient, friendly, and professional interpersonal style
  • Customer-service mindset that creates a positive experience for clients, visitors, and staff
  • Proficiency with Microsoft Office 365, particularly Outlook, Word, and Teams
  • Familiarity with HIPAA and the importance of protecting confidential client information.
  • Ability to use verbal de-escalation techniques.
  • Experience with electronic health records and medical billing applications.

Additional Requirements

  • Must possess a valid Ohio driver's license.
  • Must successfully complete a criminal background check.
  • Must successfully complete a pre-employment drug screen.
