What they need

Customer Service & Operations Coordinator – Part Time

Tuesday, Wednesday & Thursday | 9am–5pm

We are looking for a friendly, hard-working, organised and proactive Customer Service & Operations Coordinator to join our small and friendly team.

This is a varied, hands-on role at the heart of our business, helping to ensure the smooth day-to-day running of our office, customer service and order operations.

No two days are quite the same. You’ll be involved in everything from processing customer orders and answering enquiries to updating our website, invoicing, assisting with stock and providing general administrative support.

We are looking for a conscientious individual who enjoys variety, can think on their feet, takes pride in doing things well and is happy to take responsibility for their own workload. You’ll need to be organised, confident with people and computers, comfortable working at speed and to deadlines and, importantly, genuinely enjoy providing excellent customer service.

As a small team, we all help each other when needed, so a flexible and positive approach is essential.

The role

Your responsibilities will include:

  • Processing daily customer orders promptly and accurately, including customer file management, stock picking and packing
  • Invoicing customer orders
  • Answering telephone calls and responding to customer emails, providing friendly, knowledgeable and efficient service
  • Taking and processing customer payments
  • Managing website orders and assisting with product and stock updates
  • Arranging order despatches using our delivery services
  • Updating and maintaining office and customer records
  • Assisting with basic accounts administration, including purchase invoices, cash book, commission reports and website reports
  • Assisting with incoming stock deliveries and general warehouse organisation
  • Supporting customer communications and account management
  • Personalising customer presentation packaging using our foil printing machine
  • Occasional Post Office runs
  • Helping to keep the office and working areas clean, tidy and organised
  • Key-holder responsibilities

About you

We are looking for someone who is:

  • Friendly, confident and approachable
  • Self-motivated, proactive and dependable
  • Highly organised with excellent attention to detail
  • Comfortable juggling different tasks and changing priorities
  • Able to work efficiently in a busy environment and meet daily deadlines
  • Confident communicating with customers by telephone and email
  • Able to work independently while also being a supportive team member
  • Willing to turn their hand to a wide variety of tasks
  • Conscientious and takes pride in providing a high standard of work

You should also have:

  • Strong computer skills
  • Good working knowledge of Microsoft Outlook, Excel and Word
  • Excellent written and spoken English
  • Previous experience in customer service and administration
  • Experience using an accounting package would be useful, although this is not essential for someone who is confident learning new systems
  • Good manual dexterity, as the role involves operating a detailed foil printing machine and handling small components

Required licence or certification:

Drivers licence.
