Customer Service Coordinator – Plastics & Polymer Distribution

Location: Oxfordshire, United Kingdom

Employment Type: Permanent, Full-Time

Industry: Plastics, Polymers, Chemicals, Distribution, Supply Chain

About the Opportunity

Astrantia Talent is recruiting a Customer Service Coordinator on behalf of an established international company operating within the plastics and polymer distribution industry.

This position would suit an experienced Customer Service Coordinator, Sales Support Coordinator, Order Management Specialist, Sales Administrator or Supply Chain Coordinator looking to develop their career within an international trading and distribution environment.

You'll be responsible for managing the complete order-to-delivery and order-to-cash process, ensuring accurate order processing, stock allocation, shipping documentation, invoicing and customer communication.

Working closely with Sales, Logistics, Transport, Finance and Supply Chain teams, you'll play a key role in ensuring efficient operations and excellent customer service.

We're looking for someone organised, commercially aware and comfortable managing multiple priorities in a fast-paced environment.

Key Responsibilities

Order Processing & Order Management

  • Process and manage customer and supplier orders from order entry through to delivery and invoicing.
  • Coordinate the complete order-to-delivery process, ensuring accuracy and timely fulfilment.
  • Monitor stock availability, inventory levels and product allocation.
  • Track order status, delivery schedules and shipment progress.
  • Liaise with Sales, Logistics, Supply Chain and international subsidiaries to coordinate customer orders.
  • Maintain accurate order records and update ERP or order management systems.
  • Identify potential delays and proactively communicate updates to customers and internal stakeholders.

Logistics, Shipping & Export Documentation

  • Coordinate domestic and international shipments with internal transport teams and logistics providers.
  • Prepare and review shipping documentation in accordance with customer requirements, payment terms and destination country regulations.
  • Handle import/export documentation, including Bills of Lading, Letters of Credit and shipping documentation packs.
  • Liaise with Trade Finance regarding Letters of Credit and documentary requirements.
  • Ensure shipping documents are accurate, complete and submitted within required deadlines.
  • Support compliance with internal procedures and international trade requirements.

Customer Service & Sales Support

  • Act as a primary point of contact for customer enquiries relating to orders, deliveries and documentation.
  • Provide proactive updates on order status, stock availability and expected delivery dates.
  • Investigate and resolve customer complaints, delivery discrepancies and operational issues.
  • Escalate complex issues to relevant internal departments where necessary.
  • Support the Sales team with order administration, customer account coordination and commercial activities.
  • Assist with credit insurance administration and payment follow-ups when required.
  • Maintain strong relationships with customers, suppliers and internal stakeholders.

Supply Chain & Operational Coordination

  • Collaborate with Purchasing, Logistics and Supply Chain teams to ensure efficient order fulfilment.
  • Monitor stock allocation and coordinate product availability against customer demand.
  • Support operational problem-solving and continuous improvement initiatives.
  • Ensure compliance with company procedures and customer service standards.

Additional purchasing and supply chain responsibilities may be incorporated into the position.

Candidate Requirements

Essential Skills & Experience

  • Previous experience in customer service, sales administration, order processing, order management or supply chain coordination.
  • Experience managing customer orders within a B2B commercial environment.
  • Strong organisational skills and the ability to manage multiple orders, deadlines and priorities.
  • Excellent written and verbal communication skills.
  • Strong attention to detail, particularly when handling orders, invoices and documentation.
  • Experience coordinating with Sales, Logistics, Finance or Supply Chain departments.
  • Proficiency in Microsoft Office, particularly Excel.
  • A proactive, customer-focused approach with strong problem-solving skills.

Desirable Skills & Experience

  • Experience within plastics, polymers, chemicals, raw material distribution, manufacturing or industrial trading.
  • Knowledge of international logistics, freight forwarding and import/export processes.
  • Experience preparing or reviewing Bills of Lading, Letters of Credit and international shipping documentation.
  • Familiarity with inventory management, stock allocation and supply chain operations.
  • Experience using ERP systems such as SAP, Microsoft Dynamics, Sage or similar platforms.
  • Understanding of Incoterms, international trade documentation and payment terms.
  • Experience supporting purchasing, procurement or supplier coordination activities.
  • Previous experience working with international customers and suppliers.

Why Consider This Opportunity?

If you enjoy managing customer relationships, coordinating orders and ensuring everything runs smoothly behind the scenes, this could be a great next step.

You'll be joining an established international business where your contribution directly impacts customer satisfaction and operational efficiency.

And while experience in plastics or polymers would certainly be a bonus, we're equally interested in hearing from candidates with transferable experience in industrial distribution, chemicals, manufacturing, logistics or international trading.
