What they need

Make an Impact as a Customer Service Coordinator

Are you a customer-focused problem solver who thrives in a fast-paced environment? Do you enjoy coordinating people, products, and resources to get the job done right? Are you looking for some flexible part-time hours that allow for work-life balance? As a Part Time Customer Service Coordinator with Rice Lake Weighing Systems, you’ll play a critical role in keeping our national service customers up and running.

In this position, you’ll be the central point of coordination between national customers, dealers, technicians, and internal teams. You’ll manage service requests from initial dispatch through completion, ensuring orders are handled accurately, efficiently, and with a high level of customer care. Every day brings opportunities to troubleshoot challenges, coordinate solutions, and build strong relationships.

You’ll work closely with teams across Sales, Shipping, Accounting, Technical Support, Engineering, Purchasing, Production, Returns, and Scheduling to develop effective service plans and keep customer commitments on track. You’ll also develop your technical knowledge of weighing systems so you can assist with troubleshooting and determine the best course of action when customers need support.

What You’ll Do

  • Coordinate daily service dispatches for national accounts and ensure service requests are completed promptly.
  • Process service parts orders, RMAs, quotes, invoices, dealer payments, and customer credits with accuracy and attention to detail.
  • Serve as a trusted resource for national customers and dealers through professional, responsive phone and email support.
  • Troubleshoot customer and field-service issues, determining when problems can be resolved internally or when a dealer or technical specialist should be dispatched.
  • Partner with Regional Sales Directors to identify dealers that best meet national account service requirements.
  • Coordinate with purchasing and dealers to source parts needed to service both Rice Lake and non-Rice Lake products.
  • Monitor active orders, scheduling changes, partial shipments, and customer agreements to keep everyone informed.
  • Identify potential inventory or service concerns and communicate them to leadership before they impact customers.
  • Build strong relationships across departments and contribute to cross-training and team development.
  • Participate in Kaizen and continuous-improvement initiatives to make our processes more efficient and customer-focused.

What Makes This Role Unique

This isn't a position where you'll simply process orders and answer phones. You'll coordinate solutions, solve problems, build relationships, and keep critical service operations moving. You'll have the opportunity to expand your technical knowledge, work with a wide range of teams and customers, and make a visible impact on the customer experience.

We're looking for someone who is organized, dependable, confident, and comfortable juggling multiple priorities. A strong customer-service mindset, excellent communication skills, attention to detail, and the ability to stay professional under pressure are essential. Mechanical aptitude and an interest in learning weighing-system technology are highly valued.

What We're Looking For

  • Associate degree in Business or a related field, or equivalent experience.
  • Two or more years of customer service, inside sales, electronic production, or related experience.
  • Strong written, verbal, organizational, and problem-solving skills.
  • Excellent attention to detail and follow-through.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Basic computer skills, including Microsoft Windows, Excel, Word, and Outlook.
  • Good mathematical skills and mechanical aptitude.
  • Ability and willingness to learn technical aspects of weighing systems.
  • Professional telephone presence and strong interpersonal skills.
  • Valid driver's license.

This position will work part-time hours based on an agreed upon schedule during the standard department hours.
