Customer Service Executive

About the role

The Customer Service Executive supports the end-to-end order and project coordination process, serving as a key liaison between customers and internal departments. The role ensures accurate order processing, documentation, SAP transactions, delivery coordination, and timely payment collection while supporting on-time delivery and customer satisfaction.

Key responsibilities

• Coordinate with customers and internal teams to ensure smooth order processing, timely deliverables and on-time delivery (OTD).
• Review customers' POs, terms and conditions, project documents and drawings for completeness, accuracy and compliance with company requirements.
• Create and maintain sales orders, BOMs, Material Master Data and Purchase Requisitions in SAP to support planning, billing and MRP requirements.
• Extract and analyse SAP data, maintain forecasts and tracking reports to monitor order status, performance and delivery progress.
• Work closely with Sales, Proposal, Engineering and other departments to coordinate order execution and meet project/customer requirements.
• Monitor project schedules, progress, costs and budgets, and coordinate project activities from kick-off through completion.
• Prepare and coordinate shipping, export, banking and payment collection documentation, including invoices, packing lists, Bills of Lading and bonds where required.
• Perform other ad-hoc duties as assigned by the reporting superior.

About you

• Minimum Certificate/ Diploma in Business Administration or other relevant qualifications
• Minimum three (3) years of similar working experience handling customer's order from the order stage until the stage of goods delivery.
• Conversant in Microsoft Office and well versed in writing and e-mail etiquette.
• A team player and problem solver who is able to work alongside with people from all levels across various department
• Knowledge of SAP system is an added advantage
• Able to work in fast pace environment
