About MSF Mechanical

MSF Mechanical is a growing residential HVAC company specializing in new construction installations throughout the Greater Houston area. As we continue to expand, we are preparing to launch a residential service and replacement division and are looking for a highly organized, customer-focused Customer Service / Dispatch Coordinator to join our team.

This position is ideal for someone with prior HVAC dispatching and customer service experience who thrives in a fast-paced environment and enjoys coordinating technicians, builders, and homeowners while providing exceptional customer service.

Position Summary

The Customer Service / Dispatch Coordinator will serve as the primary point of contact for homeowners, builders, field technicians, and internal staff. This role is responsible for scheduling warranty and service calls, dispatching technicians, maintaining communication with customers, and ensuring service requests are handled efficiently and professionally.

Responsibilities

• Answer incoming phone calls and emails from homeowners, builders, and customers.
• Schedule and dispatch HVAC warranty, service, and start-up appointments.
• Coordinate technician schedules to maximize efficiency and response times.
• Communicate appointment details and updates to customers and field personnel.
• Monitor technician progress throughout the day and adjust schedules as needed.
• Enter and maintain accurate customer and service records.
• Track warranty calls and ensure timely completion.
• Follow up with customers to confirm satisfaction and resolve concerns.
• Assist with service invoicing and administrative tasks as needed.
• Maintain professional communication with builders, homeowners, and team members.

QualificationsRequired:

• Minimum 2 years of HVAC dispatching experience.
• Minimum 2 years of customer service experience.
• Strong phone, communication, and organizational skills.
• Ability to multitask in a fast-paced environment.
• Proficient with Microsoft Office (Outlook, Excel, Word).
• Ability to work independently and as part of a team.
• Professional and positive attitude.

Preferred:

• Experience with HVAC service software.
• Experience working with residential new construction builders.
• Knowledge of HVAC terminology and warranty processes.
