Customer Service Representative

We are currently hiring a Customer Service Representative to support our calibration service business in Japan. This position is a replacement hire for an existing CSR role and is expected to contribute as a job-ready professional. While the role is related to calibration services, we place greater emphasis on strong business process understanding—order intake, fulfilment, revenue recognition, billing, and customer communication—than on technical calibration knowledge. Primary Responsibilities -

• Handle customer enquiries related to calibration services, including quotations, order status, service fulfilment, billing, and general service topics
• Communicate professionally with customers by phone and e-mail as a service representative, ensuring timely and accurate responses
• Prepare quotations for on-demand calibration and repair services, follow up with customers, and support deal closure
• Coordinate with sales, service operations, logistics, finance, and other internal teams to ensure smooth order intake, fulfilment, revenue processing, and invoicing
• Consolidate pick-up requests for calibration and repair items and arrange logistics with forwarders and vendors
• Create and manage RMAs for on-demand and agreement-based service jobs, ensuring accuracy in systems and documentation
• Monitor job progress for internal and external service processes and proactively contact customers or internal stakeholders when action is required

• On-Demand Order amount
• RMA creation quantity

Qualifications-

• Minimum 3 years of experience in sales, sales support, customer service, order management, or a related business operations role
• Solid understanding of commercial transactions, including customer enquiries, quotations, purchase orders, order fulfilment, revenue processing, and invoicing
• Strong PC skills, including fast and accurate use of Microsoft Office applications such as Word, Excel, PowerPoint, and Outlook
• Experience using ERP, order management, sales booking, CRM, or other business systems
• Able to communicate effectively with customers, sales teams, service operations, logistics, finance, and other internal stakeholders
• Job-ready, self-driven, and able to take ownership of daily operations with minimal supervision
• Able to respond to customer messages swiftly, precisely, and with appropriate business judgement
• Able to manage multiple requests and enquiries mainly by e-mail while maintaining accuracy, prioritisation, and follow-through

Preferred-

• Practical English communication skills, including the ability to conduct basic business conversations with overseas colleagues or stakeholders
• Experience in sales administration, inside sales, sales operations, trading, import/export, or service-related business support
• Knowledge of calibration services or technical service operations is welcome, but not mandatory; stronger emphasis is placed on business process capability and customer-facing execution
