Customer Service Representative

Key Responsibilities

• Create and process purchase requisitions and purchase orders for required products and materials.
• Track orders and follow up with vendors to ensure timely delivery.
• Monitor existing orders and coordinate expedited or delayed shipments as needed.
• Enter and update received orders in the inventory management system.
• Review inventory levels and assist with stock replenishment recommendations.
• Communicate with vendors and customers regarding order status, delivery schedules, and product availability.
• Assist with invoice reconciliation and resolve purchase order or accounts payable discrepancies.
• Research vendors and product options to support quality, pricing, and delivery requirements.
• Coordinate returns or replacements for damaged, defective, excess, or expired inventory.
• Maintain accurate purchasing, inventory, and order records.
• Support inventory reporting, performance metrics, and cost-saving initiatives.
• Collaborate with on-site Storeroom Attendants and follow established safety and operating procedures.
• Maintain a clean, organized, and professional work environment.
• Perform other duties as assigned.

Required Qualifications

• High school diploma or equivalent.
• Strong computer skills and the ability to learn new software systems.
• Proficiency in Microsoft Office applications.
• Strong organizational skills and attention to detail.
• Good written and verbal communication skills.
• Basic mathematical and data-entry skills.
• Ability to work independently and manage multiple tasks.
• Strong customer service and problem-solving abilities.

Preferred Qualifications

• At least 1 year of experience in purchasing, procurement, or a related field.
• Experience creating and tracking purchase orders.
• Familiarity with SAP, Infor SX.e, ERP, or inventory management systems.
• Experience with vendor management, order processing, or invoice reconciliation.
• Experience in a manufacturing, industrial, warehouse, or storeroom environment.
• A bachelor's degree in Business, Finance, Supply Chain Management, or a related field is preferred but not required.
