Customer Services Executive

Responsibilities:

• Order Processing – Receive, verify, and enter customer orders into the ERP system, ensuring accuracy of product details, pricing, and delivery instructions.
• Customer Communication – Serve as the primary contact for customer enquiries, order status updates, and proactive notification of any changes or delays.
• Inventory Management – Monitor stock levels, coordinate with the third-party warehouse team for accurate picking and packing. Perform regular stock checks and reconcile system inventory with physical warehouse counts; report discrepancies promptly.
• Logistics & Transportation – Arrange domestic and international shipments, book carriers, track deliveries, and coordinate cold-chain logistics for food products.
• After-Sales Support – Handle customer complaints, returns, and claims; investigate issues and arrange replacements or credit notes in line with company policy.
• Cross-Team Coordination – Collaborate with procurement, warehouse, quality assurance, and finance team to ensure smooth end-to-end order fulfilment.
• Reporting & Compliance – Maintain accurate order, inventory, and delivery records; generate regular performance reports and ensure adherence to food safety regulations.
• Assist the sales team with ad-hoc tasks as required.

Requirements:

• Degree or above in Business Administration, Supply Chain, Logistics, or a related field.
• Minimum 2 years of experience in customer service, order processing, logistics or operations within the food trading, FMCG, food distribution, or related industry.
• Experience handling import/export documentation is a plus.
• Familiarity with cold chain and food product logistics is a strong advantage.
• Strong customer service mindset with excellent communication and interpersonal skills.
• Meticulous attention to detail and high accuracy in data entry and order processing.
• Proficiency in MS Office (Excel, Word, Outlook) and experience with ERP / order management systems.
• Problem-solving skills and a proactive approach to resolving customer and operational issues.
• Good command of Cantonese, English and Mandarin (both oral and written)
