Front Office & Customer Service / Sales Coordinator

Stehling’s Taxidermy LLC
Location: New Franken/Green Bay, Wisconsin
Job Type: Part-time
Schedule: Primarily weekday daytime/afternoon hours
Compensation: Hourly pay based on experience and qualifications

About Stehling’s Taxidermy

Stehling’s Taxidermy is a second-generation, family-owned taxidermy studio serving hunters, anglers, museums, nature centers, and wildlife enthusiasts since 1978.

We operate locations in Jefferson and the Green Bay area and work on a wide variety of wildlife projects, including whitetails, big game, African and exotic animals, fish, birds, turkeys, small mammals, European mounts, custom habitats, restoration projects, and museum-quality wildlife displays.

As our business continues to grow, we are looking for a friendly, organized, and dependable person to join our team in a front-office customer service and sales role at our Green Bay location.

Position Summary

The Front Office & Customer Service / Sales Coordinator will be one of the primary points of contact between Stehling’s Taxidermy and our customers.

This position involves answering phones and emails, assisting customers with pickups and drop-offs, preparing invoices and project paperwork, collecting payments, scheduling appointments, entering information into our computer system, and helping customers understand our services and options.

The ideal candidate is personable, professional, organized, comfortable working with computers, and able to manage several different tasks throughout the day.

Previous taxidermy knowledge is not required. We are willing to train the right person on our services, terminology, pricing, and internal systems. Basic knowledge of hunting and fishing is required.

Primary Responsibilities

Responsibilities may include:

  • Greeting customers and providing friendly, professional service
  • Answering incoming phone calls
  • Responding to customer emails and messages
  • Assisting customers with general questions about their taxidermy projects
  • Scheduling pickups, drop-offs, and consultations
  • Checking customers in when bringing new projects to the studio
  • Assisting customers picking up completed projects
  • Creating and updating customer invoices
  • Collecting deposits and final payments
  • Processing credit card and other customer payments
  • Preparing contracts, receipts, and other project paperwork
  • Entering and updating customer and project information in our taxidermy management software
  • Sending customer updates and follow-up messages
  • Helping gather missing pose, habitat, contact, or project information
  • Explaining general pricing, payment options, and available upgrades
  • Assisting with basic sales of habitats, display options, and other taxidermy services
  • Keeping customer records accurate and organized
  • Filing, scanning, printing, and general office organization
  • Helping coordinate projects moving between our Jefferson and Green Bay locations
  • Contacting customers when projects are ready for pickup
  • Maintaining an organized front office and customer area/basic cleaning
  • Assisting with other general office and administrative duties as needed

Customer Service & Sales

This is not a high-pressure sales position.

Our goal is to help customers make good decisions about how they would like their trophies displayed.

The employee may assist customers with options such as:

  • Standard shoulder mounts
  • Pedestal mounts
  • Custom habitats
  • Driftwood displays
  • Bases and wall displays
  • Open-mouth options
  • Pose selections
  • Fish displays
  • African and exotic mounts
  • European mounts
  • Restoration services
  • Payment plans

We will provide training on our services and pricing.

More complicated artistic or technical questions can be referred to one of the owners or production staff.

Ideal Candidate

We are looking for someone who is:

  • Friendly and comfortable speaking with customers
  • Professional on the telephone and through email
  • Organized and detail-oriented
  • Dependable and punctual
  • Comfortable using computers and learning new software
  • Able to accurately enter customer information
  • Comfortable handling invoices and payments
  • Able to communicate clearly in writing
  • Capable of managing several tasks without becoming overwhelmed
  • Comfortable asking questions when information is unclear
  • Able to work independently after training
  • Willing to learn about taxidermy, hunting, fishing, and wildlife
  • Able to maintain confidentiality regarding customer and company information
  • Comfortable working in a busy small-business environment

Helpful Experience

Experience in any of the following areas would be beneficial but is not required:

  • Customer service
  • Reception or front-desk work
  • Office administration
  • Retail sales
  • Scheduling
  • Invoicing
  • QuickBooks or similar accounting software
  • CRM or customer-management software
  • Email and telephone customer support
  • Hunting, fishing, outdoor recreation, or taxidermy

We are primarily looking for the right personality, reliability, organization, and willingness to learn.

Work Environment

This position is located inside a new retail store front and showroom.

Applicants should be comfortable working around:

  • Mounted wildlife
  • Animal hides and capes
  • Antlers and horns
  • Fish and bird mounts
  • Skull and European-mount projects
  • Customers bringing harvested animals into the studio

The majority of the position is front-office and customer-service work, but this is not a traditional corporate office environment. Some handing of specimens is required.

Schedule

We are particularly interested in applicants who have dependable weekday availability, including afternoon coverage.

Some additional seasonal hours may be available during the fall hunting season.

Consistent availability is important because this position will become an important point of contact for our customers.

What We Offer

  • Paid training
  • A friendly, family-owned work environment
  • A unique workplace unlike a traditional office
  • Opportunity to learn about taxidermy, wildlife, hunting, fishing, and museum/display work
  • Opportunity for increased responsibility as experience develops
  • A combination of office work, customer service, and sales
  • The satisfaction of helping customers preserve important hunting and fishing memories
  • Potential for expanded hours and responsibilities as the company grows

Please submit:

  • A resume or brief work history
  • Your general availability
  • A short explanation of why this position interests you
  • Any relevant customer service, sales, office, or administrative experience

Applicants selected for the next step may be invited to visit our Green Bay showroom and learn more about the position.
