Role Overview

The Executive Assistant to the CEO functions as a critical strategic partner, operational liaison, and intelligence hub for the executive office. This role drives executive decision-making by managing complex data streams, overseeing multi-site CAPEX projects, and ensuring seamless communication across all pharmaceutical verticals, spanning both Active Pharmaceutical Ingredients (APIs) and finished Formulations. The successful candidate will leverage advanced technical proficiencies across enterprise business systems, corporate communication networks, and the MS Office suite—particularly in advanced data modeling and dashboarding—to streamline executive workflows, execute ad-hoc analytical projects, and act as the CEO’s early-warning system for corporate intelligence and risk mitigation.

Key Responsibilities

Strategic Reporting & Business Intelligence:

• Compile and deliver comprehensive daily morning brief reports for the MD, consolidating cross-departmental information streams to highlight the latest sales figures, critical operational bottlenecks, and burning issues.
• Generate and consolidate monthly, quarterly, and yearly variance reports on overall business performance to support executive financial reviews.
• Process and analyze complex industry data (IMS Health, pharmaceutical export markets) to identify strategic business expansion opportunities, target territories, and potential customers.
• Execute diverse ad-hoc analytical requests from the executive office, rapidly transforming any type of raw, unstructured data into clean, structured insights and visual dashboards to support immediate decision-making.

Corporate Intelligence & Risk Mitigation:

• Gather and synthesize strategic intelligence on key internal and external stakeholders to proactively anticipate friction points and resolve operational deadlocks.
• Act as an early-warning mechanism for the executive office by identifying and evaluating potential threats to business continuity, market position, or strategic objectives.

Operations & R&D Project Management:

• Manage major R&D project pipelines for both domestic and export Formulations, ensuring strategic alignment with commercial goals and international market standards.
• Design, maintain, and oversee cloud-based tracking systems for critical business metrics and ongoing R&D projects across both the API and Formulations divisions.
• Manage high-level Capital Expenditure (CAPEX) tracking across three distinct production sites, driving the capture, prioritization, and approval pipeline for all site-specific capex items.
• Tracking timelines on projects and project milestones with the ability to design and maintain independent trackers if required.

Systems Integration & Technical Execution:

• Navigate and extract critical data from internal Business Process Systems (e.g., ERP, Inventory Management, QMS) to validate departmental reports and consolidate executive dashboards.
• Optimize and manage corporate communication systems and cloud collaboration architectures to ensure secure, rapid, and transparent information flow between the executive office and department heads.

Regulatory & Compliance Oversight:

• Maintain and manage the regulatory query management tracker, ensuring timely responses and compliance regarding Drug Controller General of India (DCGI) inquiries.

Cross-Functional Leadership & Stakeholder Management:

• Facilitate seamless cross-functional coordination on major corporate projects, proactively identifying bottlenecks and escalating major points of concern to the CEO.
• Cultivate and maintain a high positive quotient with all senior stakeholders, fostering a corporate environment grounded in trust, absolute confidentiality, and open communication.
