What they need
About Us
Jeffrey N. Mehler, CFP® LLC is a boutique, fee-only Certified Financial Planning firm serving individuals and businesses from our office in Essex, CT. We provide comprehensive financial planning and investment management, supported by sophisticated technology and a collaborative team.
The Opportunity
We are looking for a Data & Operations Specialist who enjoys working with data, technology, and systems—and who is naturally curious about how things work. This position reports directly to the Director of Operations.
The primary focus of this role is maintaining the accuracy and integrity of our portfolio management system. You will work with investment data, reconcile accounts, run and review reports and invoices, and ensure the information our clients receive is accurate.
But this is more than a data-entry job. As you learn our systems, you'll develop an understanding of how the pieces fit together and how changes in one area can affect something somewhere else. When something doesn't look right, we want you to notice it, dig in, and figure out why.
You'll also play an important role in the day-to-day operation of our office, including interacting with clients and visitors and helping keep things organized and running smoothly.
Our technology stack includes Orion, AdvisorEngine, eMoney, Microsoft Office Suite, Laserfiche, Evernote, Sharefile, RingCentral, PDF-Xchange, Holistiplan, and Claude AI
What You’ll Do
Portfolio Management & Data
- Develop a deep working knowledge of Orion, our portfolio management platform, and help improve the processes surrounding it
- Maintain and update client and account information in our portfolio management system
- Reconcile investment accounts and investigate discrepancies
- Run, review, and distribute client reports and invoices
- Monitor data for accuracy and identify unusual or unexpected results
- Research and resolve data issues, working with our team and outside technology providers when needed
Workflows and Documentation
- Manage operational workflows in AdvisorEngine CRM so requests are tracked through to completion
- Maintain document workflows in Laserfiche, keeping client records complete and properly filed
- Suggest and help build process improvements, including Excel tools and appropriate use of AI, that make our work faster and more accurate
Office & Client Support
- Assist with client service requests as needed, such as new account openings and cash transfers
- Welcome clients and visitors and provide a professional first point of contact
- Answer and direct phone calls and respond to general inquiries
- Manage incoming and outgoing mail and deliveries
- Maintain office supplies and help keep the office organized and running smoothly
- Provide general administrative support to the team as needed
- Support Director of Operations on special projects, including but not limited to finance operations, workflows, and client projects
Who You Are
You're someone who likes to figure things out. You are analytical and detail-oriented, but you also like to understand the bigger picture. You don't just want to know what to do—you want to understand why.
You are comfortable working independently, take ownership of your work, and notice when something doesn't look right. You're also personable and professional and enjoy being part of a small team where everyone pitches in.
You’ll Be a Great Fit If You Have:
- Strong analytical and problem-solving skills
- A natural curiosity and interest in understanding systems and how they work
- Excellent attention to detail and a high standard for accuracy
- Strong organizational skills and follow-through
- The ability to recognize relationships between different sets of data
- The ability to work independently while being a collaborative team member
- Strong written and verbal communication skills
- Proficiency with Microsoft Office, particularly Excel, Word, and Outlook
- An aptitude for learning new software and technology
- Experience with financial data, portfolio management software, accounting systems, or other complex databases is a plus.
- A bachelor's degree in business, finance, accounting, or a related field—or comparable professional experience—is preferred.
