Data Entry and System Administrator (DIAMS Case Management)

Our Intellectual Property department is seeking a focused Data Entry and System Administrator. This is a straightforward administrative role focused entirely on maintaining our case management software, DIAMS. It does not involve IT hardware, server management, or networking.

Daily Responsibilities

Input and maintain critical data, patent application details, and official dates within the DIAMS system.

Monitor incoming correspondence from clients and patent offices, and accurately link these communications to the correct records in DIAMS.

Track and key in official deadlines and maintenance fees to ensure all case timelines are updated in real time.

Review entries against official documents to catch and correct typographical errors or mismatched information.

Assist team members by generating standard status reports or pulling case histories directly from DIAMS.

Requirements

Diploma holder in any field.

Prior experience with DIAMS or similar IP case management systems is highly preferred, though comprehensive training will be provided.

Comfortable handling routine, high volume data entry with a high level of accuracy.

Sharp attention to detail, specifically with long reference numbers, dates, and names.

Good command of English to read and correctly categorize legal and official correspondence.

Fresh graduates who are organized and comfortable working with database software are welcome to apply.
