We’re looking for a highly organized, proactive Program Coordinator to support our Behavioral Health and Psychiatric programs. This is a key operational role—you’ll be at the center of client coordination, scheduling, and ensuring services run smoothly from intake through ongoing care.

What You’ll Do

Front Office & Client Communication

• Manage the main business phone line and serve as the first point of contact for clients
• Schedule appointments, confirm visits, and follow up with clients

Intake Coordination

• Coordinate client intakes from referral through admission
• Ensure all required documentation is collected and completed
• Communicate with clinicians and staff to ensure timely service access

Psychiatric Coordination

• Schedule and manage psychiatric appointments in coordination with providers
• Support psychiatric clinic days
• Ensure clients are prepared for appointments and follow-ups

Authorizations & Insurance

• Submit and track initial and ongoing service authorizations
• Follow up with payers to prevent service interruptions
• Verify insurance eligibility and maintain accurate records

Administrative Support

• Maintain accurate data in the EMR system
• Generate reports and support program operations
• Ensure timely follow-up on appointments and documentation

What We’re Looking For

• 1+ year of administrative, healthcare, or program coordination experience
• Strong organizational and time-management skills
• Excellent communication and customer service skills
• Ability to multitask and work in a fast-paced environment
• Detail-oriented with strong follow-through

Bilingual (English/Spanish) strongly preferred due to the population we serve

Schedule & Work Environment

• 26 hours per week (Part-Time)
• Monday – Thursday, 8:00 A.M to 3:00 P.M.
• Hourly W2 position, no benefits
• In-Office
• Review messages and the prior shift handoff at the start of the day. Before 3:00 p.m., document pending calls, intake needs, appointments, and authorization tasks for the evening coordinator.

Additional Requirements

• Must pass all pre-employment screenings (Level II background, drug screening, etc.)
