Deductions Coordinator

We are looking for a detail-oriented Deductions Coordinator to support commercial operations for a long-term contract assignment in Menomonee Falls, Wisconsin. This hybrid role combines analytical work, claims administration, and cross-functional coordination to help ensure accurate credit processing, item maintenance, and retailer support activities. The position is ideal for someone who is comfortable working with data, managing multiple priorities, and partnering with internal teams to keep operations running smoothly.

Responsibilities:

• Evaluate price protection submissions, confirm supporting details, prepare credit documentation, secure required approvals, and complete authorized transactions.

• Investigate chargebacks, deductions, freight-related discrepancies, and other claim issues to determine validity and support timely resolution.

• Process rebate and incentive program claims, including payment file preparation and weekly coordination with Finance for disbursement activities.

• Maintain product and item records within the ERP environment by creating new entries, updating existing information, and managing discontinued items.

• Configure and manage demo and showroom discount setups for both direct and indirect customer accounts.

• Monitor retailer portals and related operational data to identify issues, track claim status, and support accurate reporting.

• Provide coverage for team leadership and colleagues when needed, helping sustain service levels across the commercial operations function.

• Collaborate with internal stakeholders to support reporting, documentation, and day-to-day administrative coordination tied to commercial operations.

• Work within a hybrid schedule that includes three days onsite and two days remote while maintaining consistent communication and task follow-through.

• Experience handling chargeback reviews, deduction research, or credit and claims administration in a business operations environment.

• Strong data analysis skills with the ability to interpret reports, validate details, and manage information accurately in retailer or customer portals.

• Background processing rebates, incentives, payments, or related financial transactions with close attention to accuracy and deadlines.

• Proficiency with Microsoft Excel and Microsoft Word for reporting, documentation, and daily operational tasks.

• Familiarity with ERP systems and item master maintenance, including setup changes, updates, and record management.

• Ability to organize multiple priorities, follow compliance guidelines, and work effectively with cross-functional teams.

• Strong written and verbal communication skills in a hybrid office environment.

• Availability to work a long-term contract assignment based in Menomonee Falls, Wisconsin with three onsite days each week.
