What they need

Who We Are

PGH Dental Wellness isn't a typical dental office - we're a wholistic, comprehensive dental practice in Pittsburgh's North Hills, built around whole-health dentistry rather than quick fixes. Led by Dr. Samir Gupta, our practice specializes in airway-centric, minimally invasive, and biologically-focused care, with a strong emphasis on patient education and prevention.

We invest in advanced technology so our team can deliver precision care in a calm, modern, spa-like environment. Patients consistently describe our office as warm, thorough, and genuinely invested in their long-term health, and we're proud of that reputation.

We're looking for a long-term front desk administrator and treatment coordinator who wants to grow with a practice that will invest in them - not just fill a seat. This is a hybrid role: part front desk, part treatment coordinator. You'll run the front office day to day and also own the financial and scheduling path of every treatment plan we present, from first call through treatment planning, financing, and checkout.

What You'll Do

Front Desk / Patient Experience

  • Serve as the first point of contact for patients — by phone, in person, and via email
  • Manage scheduling to optimize the doctor's day and minimize gaps
  • Handle patient records, new patient onboarding, and follow-up communications
  • Coordinate with the clinical team to ensure smooth patient flow
  • Maintain a welcoming, professional front office atmosphere

Treatment Coordination

  • Present treatment plans clearly and confidently
  • Keep every treatment plan current, correctly sequenced, and entered in Open Dental the same day it's diagnosed
  • Discuss financial arrangements and present financing options
  • Track every case from diagnosis through presentation, financing, scheduling, delivery, and final payment
  • Follow up on unscheduled treatment, log the reason a patient doesn't move forward, and work those cases until they're resolved
  • Send patients a written Clinical Findings Summary explaining recommended treatment
  • Report weekly and monthly on case status

What We're Looking For

  • Exceptional communication skills — warm, professional, and persuasive on the phone and in person
  • Strong organizational ability and attention to detail; comfortable managing detailed tracking systems
  • Comfort presenting financial information and discussing treatment investment with patients
  • A service-first mindset — you genuinely enjoy making people feel at ease
  • Prior dental office experience preferred
  • Comfortable learning new software systems

What We Offer

  • Competitive pay, commensurate with experience
  • Sign-on bonus (paid in two installments, at 90 days and 6 months)
  • On-the-job training and continuing education support
  • 401(k) with matching
  • Health insurance
  • Paid time off
  • Employee discount
  • Wellness program
  • A specialty practice environment with real clinical variety — including opportunities to grow in airway and implant dentistry
  • A small team where your contributions are visible and valued
  • Opportunity to grow into a senior role as the practice grows

This Role Is Right for You If…

You've worked in a fast-paced service environment and know how to make people feel genuinely cared for. You're organized, accountable, and take pride in running a tight operation. You're comfortable owning both the relationship side of dentistry (patient trust, communication) and the financial side (fees, financing, follow-up). You want a long-term home — not another stop on the job-hopping circuit. Dental experience is a plus, but your attitude and aptitude matter more to us.

Pay: $23.00 - $27.00 per hour

Expected hours: 40.0 per week

Benefits:

  • 401(k)
  • 401(k) matching
  • Dental insurance
  • Employee discount
  • Health insurance
  • Paid time off

Work Location: In person
